Executive Assistant

As Executive Assistant to the General Manager, you will provide high-level administrative and organizational support, helping ensure the smooth day-to-day running of the business. In this role, you will act as a key point of coordination, supporting priorities, managing logistics, and enabling effective communication within a dynamic international environment.
In This Role, Your Responsibilities Will Be:
  • Manage complex calendars, schedule meetings, and coordinate video conferences across multiple time zones
  • Organize domestic and international travel arrangements, including visas and detailed itineraries
  • Plan and support internal and external events such as leadership meetings, workshops, and site visit
  • Handle administrative tasks including correspondence, document preparation, and maintaining accurate contact records
  • Welcome and coordinate visitors, partners, and service providers, ensuring a professional experience
  • Review and process invoices using internal systems (e.g., Esker) and manage expense reports
  • Prepare meeting rooms and help ensure office spaces and equipment are well organized and functional
  • Support internal communication by preparing materials and helping information flow effectively across teams
  • Work closely with colleagues across the organization, providing reliable and proactive support
  • Assist with ad hoc projects, including tracking key metrics, preparing reports and coordinating activities.

For This Role, You Will Need:
  • Relevant experience in an administrative or executive support role
  • Strong organizational and time management skills, with the ability to handle multiple priorities independently
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and collaboration tools such as Teams
  • Excellent written and verbal communication skills in both French and English
  • Experience coordinating meetings, travel, and events
  • A high level of discretion and professionalism when handling sensitive information.

Preferred Qualifications That Set You Apart:
  • Experience supporting senior leaders or executive teams
  • Familiarity with invoice processing and expense management systems
  • Knowledge of administrative processes related to international travel (e.g., visas, A1 forms)
  • Strong attention to detail and a proactive approach to improving ways of working.
