Executive Assistant - ETS Strategy and Planning

The Executive Assistant acts as an important liaison between Enterprise Technology & Security (ETS) staff and the broader corporate landscape as well as external stakeholders. This role offers a unique opportunity to make a significant impact at one of the nations largest investor-owned energy companies and the communities it serves. Working closely with the Vice President and other ETS leadership, the Executive Assistant will help maximize time and focus by aligning with top priorities for advancing the organization. Operating with minimal supervision, the Executive Assistant will be a proactive, highly motivated professional, taking full responsibility for providing seamless support and ensuring the office functions effectively and efficiently.

This position does not provide employment pursuant to the terms of a STEM OPT Training Plan.

Core Responsibilities
  • Provide sophisticated calendar management. Prioritize inquiries and requests while troubleshooting conflicts; utilize judgments and recommendations to ensure efficient time management
  • Act as a strategic operations liaison across senior leadership, regulators, partners, and vendorsdriving alignment, managing executive outreach, and ensuring seamless coordination across internal and external ecosystems
  • Deliver executive productivity at scale by owning end-to-end workflow orchestration: preparing data-driven briefings, generating high-impact communications and presentations, coordinating travel, and leveraging automation to streamline administrative processes
  • Operate as a force multiplier for the executive team by maintaining real-time visibility into priorities, initiatives, and risksanticipating needs, enabling decision readiness, and ensuring disciplined follow-through on commitments
  • Own digital information management and knowledge systems, ensuring secure, structured, and AI-searchable access to critical documents, communications, and executive materials
  • Drive prioritization and intake governance by triaging requests, managing sensitive communications, and ensuring executive focus remains aligned to strategic outcomes
  • Strengthen executive office operations through effective stakeholder management, deadline discipline, and the ability to navigate ambiguity across competing priorities
  • Act as a trusted steward of sensitive information, exercising exceptional judgment, discretion, and professionalism while enabling fast, informed decision-making
  • Continuously enhance ways of working by adopting modern tools (Copilot, automation, collaboration platforms), improving processes, and identifying opportunities to increase efficiency and effectiveness
Required Education/Experience
  • Bachelor's Degree and a minimum of 3 years relevant full-time work experience supporting senior management or
  • Associate's Degree and a minimum of 4 years relevant full-time work experience supporting senior management or
  • High School Diploma/GED and a minimum of 5 years relevant full-time work experience supporting senior management
Relevant Work Experience
  • Advanced digital and AI proficiency, including expert use of Microsoft 365 (Outlook, Teams, Excel, Word, PowerPoint) and AI tools such as Copilot to enhance productivity, automate workflows, and generate high-quality outputs, required
  • Strong systems and technology acumen, with working knowledge of enterprise platforms (e.g., Oracle) and communication technologies, enabling effective navigation of complex IT environments, required
  • Ability to efficiently retrieve, interpret, and relay messages from email, Microsoft Teams, and phone communications, and respond as appropriate, required
  • Exhibit a conscientious work ethic with strong presentation and interpersonal skills, required
  • Be flexible with work hours to address time-sensitive business and system needs, required
  • Exceptional written and verbal communication skills, including the ability to draft, edit, and deliver executive- and board-ready materials with clarity, precision, and impact, required
  • High attention to detail with forward-looking mindset, demonstrating the ability to anticipate needs, proactively plan, and prioritize competing deliverables in a fast-paced environment, required
  • Must be a self-starter and have the ability to multi-task and handle changing priorities, required
  • Must be able to exercise independent judgement and discretion in the coordination of meetings, reports and information while maintaining a strict level of confidentiality, required
  • Experience supporting a VP, SVP, President or C-level executive, preferred

Additional Physical Demands
  • The selected candidate will be assigned a System Emergency Assignment (i.e., an emergency response role) and will be expected to work non-business hours during emergencies, which may include nights, weekends, and holidays.
  • Ability to work flexible hours and travel throughout the Company's service territory
