Responsibilities Executive Assistant – Food Ventures (24-Month Assignment) | Barcelona, Spain. About the Role We're looking for a highly organized, proactive, and resourceful Executive Assistant to support senior global leaders within our Food Ventures (New Revenue Streams) organization during a 24-month assignment based in Barcelona. In this role, you'll become a trusted partner to executives, ensuring seamless day-to-day operations while managing complex schedules, international travel, executive communications, and key business priorities. Beyond executive support, you'll play an important role in coordinating local initiatives, executive visits, and culinary experiences that bring our Food Ventures organization to life in Barcelona. This is an exciting opportunity to work in a fast-paced, international environment with global exposure and meaningful. What You'll Do Executive Partnership Provide high-level administrative and operational support to senior global executives. Proactively manage complex calendars, competing priorities, and scheduling across multiple time zones. Anticipate executive needs and help optimize time, productivity, and decision-making. Travel & Expense Management Coordinate domestic and international travel, including flights, accommodation, transportation, and detailed itineraries. Manage travel and entertainment expenses using Concur and Egencia, ensuring accuracy and compliance with company policies. Meeting & Leadership Coordination Organize executive meetings, leadership sessions, business reviews, and cross-functional engagements. Prepare agendas, meeting materials, presentations, trackers, and follow-up actions. Ensure all logistics are executed with exceptional attention to detail. Barcelona Experiences & Executive Events Support the planning and execution of local initiatives, culinary activations, executive visits, and team experiences. Coordinate with internal teams and external partners to deliver engaging, high-quality experiences. Stakeholder Management Act as a key liaison between executives, internal stakeholders, and external partners. Facilitate clear communication, timely follow-up, and seamless coordination across global teams. Administrative Excellence Maintain organized digital files, documentation, shared resources, and administrative processes. Handle confidential information with the highest level of discretion and professionalism. Team & Culture Support Contribute to onboarding activities, team engagement initiatives, and experiences that strengthen collaboration and company culture. Qualifications What You'll Bring 5+ years of experience supporting senior executives (Vice President level or above) in a multinational or fast-paced corporate environment. Demonstrated experience managing complex executive calendars and international travel. Hands-on experience with Concur and Egencia for travel and expense management. Outstanding organizational and prioritization skills with the ability to manage multiple tasks simultaneously. A proactive mindset with strong problem-solving abilities and excellent attention to detail. Exceptional interpersonal and stakeholder management skills. High level of professionalism, integrity, and discretion when handling confidential information. Flexibility to collaborate with global teams across different time zones. Advanced proficiency in Microsoft Office (Outlook, PowerPoint, Excel, and Word). Experience using Apple devices and digital collaboration tools is an advantage. Fluent English is required.
