Executive Assistant

Weekly office requirement: 3 days per week
Employment type: Permanent
Seniority level: Mid-senior
Language: All stages of the recruitment process will be conducted in English

At GWI we're always looking for extraordinary people who thrive on making an extraordinary impact. Right now we're looking for an Executive Assistant to play a key role in our Business Assistance team in London. If that's you, and making a difference gets you out of bed in the morning, keep reading. It could be the start of something, well, extraordinary.

Sounds great, what will I be doing? πŸ€”

As our Executive Assistant you'll be the engine that keeps our Executive Team moving. You'll provide high-quality, proactive support to three senior leaders β€” helping them stay focused, organised, and ahead of the curve. This isn't a heads-down admin role; it's a high-trust, high-impact position at the centre of a fast-moving, data-driven business.

You'll serve as the primary point of contact for all matters pertaining to the Executive Team, from highly confidential communications to forward planning, travel, and events. You'll work closely with our existing EA team in a collaborative, autonomous environment where your ideas and initiative are genuinely encouraged.

A few things you'll be responsible for:

πŸ‘‰ Diary management and gatekeeping for the Executive Team β€” prioritising, protecting, and structuring their time so they can focus on what matters most
πŸ‘‰ Managing all business travel logistics, including visas, itineraries, and expenses
πŸ‘‰ Serving as the primary point of contact for internal and external communications on behalf of the Executive Team, including sensitive and confidential matters
πŸ‘‰ Supporting the circulation of board and leadership packs and ensuring actions are followed up
πŸ‘‰ Organising meetings, off-sites, lunches, dinners, and office events β€” from logistics to hospitality
πŸ‘‰ Supporting the smooth running of the UK office, including onboarding of senior hires and assisting during large exec-facing events

It's also fun; shaking things up is what working for GWI is all about. You'll need to be flexible, comfortable with continuous change, and working in a high-tempo environment.

What do I need to bring with me? 🧳

You'll need to be able to demonstrate the core skills this role requires. You don't have to tick all the boxes right away; the important thing is that you're willing to learn. Here's what the team will be looking for in you:

πŸ‘‰ Proven EA experience supporting C-suite leaders
πŸ‘‰ Comfortable working in fast-paced, high-change environments β€” you take initiative and act without needing constant direction
πŸ‘‰ 2–3+ years of EA experience, with the instincts and trust needed to work at this level
πŸ‘‰ Strong diary management and travel coordination skills, with high attention to detail and confidentiality
πŸ‘‰ High proficiency in Google Suite and Microsoft packages
πŸ‘‰ Excellent communication skills β€” clear, professional, and able to represent senior leaders with care
πŸ‘‰ Experience in tech, SaaS, or growth companies is a plus β€” as is familiarity with AI tools

Equally important is attitude. We want people who think big (to make an impact), ask why (to find a better way), and show respect (to everyone, at every level, all the time). Those are our values, and they're a big part of what we're looking for in you.

Why Join Us

  • A pivotal moment to join GWI β€” we have an exciting opportunity ahead and you'll be right at the centre of it, working directly with our Executive Team to help them achieve big goals
  • Real autonomy and impact from day one β€” you'll have the space to shape this role, implement new processes, and bring fresh ideas. We don't micromanage; we trust you to own it
  • A brilliant team to work with β€” collaborative, supportive, and genuinely fun. You'll be joining an EA team that has each other's backs
  • A role that grows with you β€” as GWI grows, so does the scope of this position. It's a great place to build a long-term career in executive support
