Ko tōu ake mahi - What you’ll do
As the Executive Assistant, you’ll provide exceptional, proactive support to an Associate Deputy Director-General and Group Manager, as well as critical support across the Mental Health, Addiction and Suicide Prevention unit. This is more than coordination—it’s about influence, foresight, and trusted partnership. You’ll handle sensitive information with discretion, build strong relationships across the Ministry and beyond, and contribute to continuous improvement and smooth administrative operations of the unit. Provide executive support – Deliver advanced diary management, forward planning, and time optimisation to ensure the Associate Deputy Director-General and Group Manager stay focused on key priorities.
Provide administrative support across the Mental Health, Addiction and Suicide Prevention unit and for senior leaders, contributing to smooth operations and delivery of the unit’s critical work as a core member of the team.
Oversee correspondence flow, triaging and prioritising so attention is directed to the most critical outcomes and deliverables.
Make sound decisions about information flow, coordinate meetings, and prepare high-quality documentation with precision.
Build strong partnerships and collaborate with ELT support teams, engage with senior stakeholders, and represent senior leaders with professionalism across government and external networks.
Act as a role model for administrative staff while contributing to continuous improvement of processes, systems, and ways of working.

Proven experience delivering high-level executive support to senior leaders, ideally within a government environment
Strong technical capability across MS Office, producing polished, accurate documents and outputs
Exceptional organisation and foresight, with the ability to prioritise, anticipate needs, and meet tight deadlines
Sound judgement and discretion when handling sensitive and confidential information
Confident communication skills with the ability to build trusted relationships at all levels, including senior stakeholders
Flexibility to respond to changing needs and environments
