Executive Assistant
ROLE OVERVIEW:<\/b><\/span>
<\/h2>The Executive Assistant will provide high\-level support to the Visionary by managing calendar coordination, inbox organization, CRM updates, and preparation for meetings. The ideal candidate is highly organised, proactive, tech\-savvy, and capable of maintaining confidentiality while working independently in a fast\-paced environment. This role requires a high level of discretion, initiative, and attention to detail.<\/span>
<\/p>KEY RESPONSIBILITIES:<\/b><\/span>

1. Calendar Management<\/span>
<\/p>
<\/p>
- Proactively manage and coordinate the executive\u2019s daily, weekly, and monthly calendar.
<\/li> - Schedule internal and external meetings, ensuring optimal time management and avoidance of scheduling conflicts.
<\/li> - Prepare and circulate meeting agendas and reminders.
<\/li><\/ul>

2. Inbox and Email Management<\/span>
<\/p>
<\/p>
- Monitor and triage the executive\u2019s email inbox daily.
<\/li> - Flag urgent messages, draft responses where appropriate, and ensure timely follow\-up on priority items.
<\/li> - Maintain organised email folders for efficient retrieval.
<\/li><\/ul>
<\/p>
3. CRM and Contact Management<\/span>
<\/p>
<\/p>
- Maintain and update the CRM system with contacts, meeting notes, and follow\-up tasks.
<\/li> - Assist with CRM automation (e.g., reminders, task creation, follow\-up sequences).
<\/li> - Ensure accuracy and data integrity within the system.
<\/li><\/ul>

4. Meeting Preparation and Support<\/span>

<\/p>
- Schedule and coordinate virtual and in\-person meetings.
<\/li> - Take minutes and action notes when required.
<\/li> - Follow up on assigned action items to ensure timely completion.

5. General Administrative Support<\/span>

- Assist with task tracking and follow\-up.
<\/li> - Coordinate logistics for travel, events, and other engagements as needed.

Requirements<\/h3>

REQUIREMENTS:<\/b><\/span>

- Minimum 10 years\u2019 experience as an Executive Assistant or Personal Assistant at executive level.
<\/li> - Proficiency with digital tools including Google Workspace, Microsoft Office, Zoom, and CRM systems Zoho
<\/li> - Exceptional organisational and time\-management skills.
<\/li> - Excellent written and verbal communication skills.
<\/li> - Ability to work independently, exercise judgment, and maintain confidentiality.
<\/li> - Strong attention to detail and proactive problem\-solving.
