This role is designed for a highly versatile operator who acts as a strategic extension of senior executives, helping them maximize focus, efficiency, and impact. You will operate across a wide range of responsibilities, from calendar and communication management to project coordination, systems improvement, and workflow optimization. The environment is fast-moving, high-trust, and deeply collaborative, requiring strong judgment and adaptability. A key part of the role is leveraging AI tools to streamline operations, accelerate execution, and reduce manual work wherever possible. You will work closely with executives and other partners to ensure priorities are clear, execution is smooth, and operational friction is removed. This is a role for someone who thrives in ambiguity and enjoys switching between strategic thinking and hands-on execution.

Accountabilities:

You will serve as a core operational partner to executives, ensuring priorities are executed effectively, systems run smoothly, and communication flows efficiently across all areas of responsibility.

  • Manage executive calendars strategically, ensuring priorities are protected and time is optimized across competing demands
  • Handle communications including inbox management, drafting messages, and ensuring timely and professional follow-ups
  • Coordinate meetings, travel, and day-to-day logistics to maintain seamless executive operations
  • Support and track cross-functional projects, ensuring milestones, dependencies, and deadlines are clearly managed
  • Identify inefficiencies in workflows and implement improved systems, tools, and automations where possible
  • Leverage AI tools to accelerate research, drafting, automation, and operational execution
  • Manage financial administrative tasks including expenses, invoices, and basic reporting with accuracy and discretion
  • Collaborate with other business partners to share insights, improve processes, and enhance overall team effectiveness
  • Requirements:

    You bring strong operational, analytical, or executive support experience, combined with a proactive mindset and the ability to work across multiple disciplines in a fast-paced environment.

    • 4–7 years of experience in operations, program management, project management, product management, analytics, or executive support roles
    • Strong fluency with AI tools and automation, using them regularly to improve efficiency and output quality
    • High adaptability and comfort working outside of defined responsibilities or unfamiliar domains
    • Strong communication skills with the ability to draft clear, professional, and concise business correspondence
    • Excellent organizational and time management skills with the ability to manage multiple priorities simultaneously
    • Proficiency with modern workplace tools such as Google Workspace, Microsoft Office, Notion, Slack, Asana, CRMs, and automation platforms
    • Strong problem-solving mindset with a proactive, ownership-driven approach to execution
    • Ability to operate with discretion, professionalism, and high trust in executive environments
