Job Role: Executive - Front Office & Travel Desk
Reports to: Head – Corporate Services
Job Overview: The role will be responsible for managing end-to-end travel arrangements along with front desk operations and administrative coordination. This role requires a professional who can efficiently handle travel logistics, visa coordination, visitor management, and stakeholder coordination while ensuring a seamless experience for employees and guests.
Responsibilities and Duties:
Travel Management & Coordination
- Coordinate and manage domestic and international travel arrangements, including flight bookings, accommodation, and local transportation.
- Handle visa processing and related documentation for employees and international visitors.
- Liaise with travel vendors and agencies to ensure cost-effective and timely travel arrangements.
Accommodation & Guest Relations
- Manage hotel bookings, guest house arrangements, and visitor accommodation.
- Ensure smooth and professional experience for visiting clients, delegates, and employees.
- Coordinate all necessary arrangements for guest visits, including logistics and hospitality.
Front Office Operations
- Serve as the first point of contact for visitors and incoming communication.
- Manage front desk operations, including handling calls, emails, and walk-in queries.
- Oversee meeting room scheduling and allocation.
- Maintain visitor records in compliance with organizational protocols.
Administrative Coordination
- Collaborate with internal teams and stakeholders for travel and administrative requirements.
- Coordinate with vendors for travel, hospitality, and related services.
- Support general administrative activities as assigned.
MIS & Reporting
- Maintain accurate travel and administrative records and reports.
- Track travel expenses, vendor invoices, and booking details.
- Provide periodic MIS reports to the reporting manager.
Education and Experience:
- Bachelor’s degree in any discipline
- Preferred: Degree or certification in Travel & Tourism / Hospitality Management
- Minimum 3+ years of relevant experience in travel desk, front office, or administrative roles
- Prior experience in handling travel bookings, visa coordination, and guest management will be preferred.
Required Skills and Abilities:
- Strong verbal & written communication and interpersonal skills
- Excellent organizational and multitasking abilities
- Proficiency in MS Office (Excel, Word, Outlook)
- Working knowledge of travel coordination and visa processes
- High level of professionalism and customer orientation
