Role Summary
The Executive Operations Coordinator will provide high-level administrative and operational support to the Chief Relationship Officer / Platinum Executive Coach, with a primary focus on executive administration, internal coordination, business development support, and calendar management. This role requires exceptional organizational skills, proactive communication, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities
- Manage internal coordination (10–15%) to ensure smooth communication and execution across teams.
- Support business development initiatives (20%), including coordination, follow-ups, and administrative tasks.
- Manage calendar, schedule, and meeting logistics.
- Coordinate domestic and international travel arrangements.
- Prepare expense reports and maintain accurate work hour records.
- Track priorities, action items, and communicate updates across teams.
- Coordinate with executives and Executive Assistants as needed.
- Proactively manage competing priorities and recommend scheduling adjustments.
Qualifications
- 3+ years of experience in executive support, operations, project coordination, or a similar role.
- Experience supporting a U.S.-based executive or leadership team.
- Proven experience managing complex executive calendars, travel arrangements, and shifting priorities.
- Excellent organizational, communication, and time management skills.
- Highly proactive, detail-oriented, and able to work independently in a fast-paced environment.
- Proficient in Google Workspace and/or Microsoft Office; experience with project management tools is a plus.
- Ability to handle confidential information with professionalism and discretion.
- Experience supporting business development or cross-functional initiatives is an advantage.
