Executive, Recruitment (FA Division) Onboarding

This role offers an exciting opportunity to be part of Manulife’s Agency Distribution team, supporting the onboarding of Financial Advisors through a seamless, compliant, and digitally enabled experience. You will play a key role in ensuring high-quality onboarding governance while also contributing to process optimisation, automation, and system enhancements.

Beyond day-to-day operations, this position provides strong exposure to cross-functional stakeholders and the opportunity to drive improvements in workflows, reporting, and digital adoption (including AI-assisted tools). It is ideal for individuals who enjoy combining operational excellence with continuous improvement and innovation.

Position Responsibilities

Onboarding & Compliance

  • Manage end-to-end onboarding processes for Financial Advisors, ensuring adherence to Fit & Proper requirements and regulatory standards
  • Perform due diligence checks with clear, structured documentation and audit-ready case notes
  • Support audit and compliance reviews by maintaining accurate and complete records

Process Optimisation & Digital Enablement

  • Identify opportunities to streamline workflows, reduce manual effort, and improve turnaround time
  • Develop templates, SOPs, and structured documentation to enhance consistency and efficiency
  • Leverage AI tools and automation approaches to improve productivity and process quality

Data & Reporting

  • Prepare and analyse manpower and recruitment campaign data to support business insights and decision-making
  • Ensure high standards of data accuracy across multiple systems
  • Generate regular reports using Excel (e.g. PivotTables, lookup functions, data cleaning techniques)

Stakeholder & Project Collaboration

  • Partner with internal stakeholders (e.g. agency teams, compliance, HR) to ensure smooth onboarding experience
  • Contribute to system enhancement initiatives by gathering requirements, drafting user stories, and participating in UAT
  • Support ongoing process improvement and transformation initiatives within the team

Required Qualifications

  • Good understanding of onboarding processes and regulatory/compliance requirements
  • Familiarity with AI tools (e.g. for summarisation, documentation, or workflow support
  • Strong Excel skills (e.g. PivotTables, VLOOKUP/XLOOKUP, data handling)
  • Ability to produce clear, structured, and compliant documentation
  • Strong attention to detail with a high standard of data accuracy
  • Good communication and stakeholder management skills
  • Ability to work independently in a fast-paced environment
