Export Operations Coordinator, Seafreight

The Role

We are urgently hiring Sea Freight Export Operations Executives for our client's export operations team based in Changi South. You will manage end-to-end sea freight export operations — from shipment registration and HBL creation to permit declarations, stakeholder coordination and invoicing — all within a structured global freight forwarding environment.

What You Will Do

  • Register shipments accurately and on time into CargoWise (CW1); update all internal and external systems with shipment data
  • Create, verify and finalise Ocean Freight documents including House Bill of Lading (HBL) and Cartage Advice
  • Perform export permit declarations via Tradenet; handle FTA forms, COO applications and related customs documentation
  • Ensure dangerous goods / hazardous cargo documentation is in place and obtain DG approvals from carriers where required
  • Coordinate customer booking requests; liaise with shipping lines, co-loaders, overseas offices, freight forwarders and subcontractors
  • Communicate cargo-related incidents (short shipments, damages, misrouting, missed vessels) and follow irregularity handling procedures
  • Verify vendor and intercompany invoices; raise disputes for incorrect billing and ensure shipment costs are updated correctly in CW1
  • Ensure timely invoicing per company KPI; handle invoice disputes and queries
  • Maintain monthly customer reports; upload and sort documents into eDoc
  • Adhere to customer-specific SOPs and DSV's global governance and compliance policies

What We Are Looking For

Must Have:

  • Minimum 1 year of sea freight export operations experience in a freight forwarding environment
  • Hands-on experience with HBL creation/verification, Bill of Lading, Cartage Advice
  • Active Tradenet export permit declarations — OE permits, FTA, COO
  • Strong attention to detail and ability to handle multiple shipments simultaneously
  • Proficient in Microsoft Office (intermediate to advanced)

Good to Have:

  • Experience with CargoWise / CW1 — actively used in current or previous role
  • Knowledge of dangerous goods documentation and carrier DG approval process
  • Experience with both import and export operations
  • Familiarity with eDoc, pre-alert documentation and overseas agent coordination

Working Hours: 8:30AM - 5:30PM (Mon - Fri)
