Position Title: Facility Coordinator

Location: Warsaw – Wola, Plac Europejski 1

Work Mode: On-site

Employment Type: Full-time

Your Responsibilities:

  • Preparing and managing the annual budget for office facility services, including periodic settlement reporting and monthly reforecasting.
  • Managing facility service providers (technical service, security) in office operations and maintaining direct contact with the building administrator.
  • Overseeing workplace safety and hygiene, ensuring proper certification and entering records into designated systems.
  • Processing supplier invoices and placing purchase orders (office supplies, food items, cleaning, service, and others).
  • Completing monthly reports on space planning and facility inspections.
  • Conducting audits upon client request, including health & safety, climate, and office audits.
  • Providing support in emergency evacuation planning as a coordinator.
  • Responding to all guest inquiries in a friendly and professional manner.
  • Supervising all front desk tasks, including conference room bookings and timely deliveries.
  • Conducting daily conference room inspections and resolving/reporting any irregularities.
  • Overseeing mail and package shipments/receipts via courier services.
  • Coordinating team operations.

Our Requirements:

  • Higher education degree.
  • Minimum 1 year of experience as an office coordinator or in a similar role.
  • Proficiency in English (both spoken and written).
  • Practical knowledge of MS Office packages.
  • Problem-solving mindset and proactive customer approach.
  • Strong organizational, communication, and interpersonal skills.
  • Self-reliance and effective time management.
  • Personnel management and development skills.
