Facilities Executive
Responsibilities:
Facility Operations: Oversee daily operations across multiple sites, including M&E systems, HVAC, fire protection, lifts, utilities, cleaning, and grounds. Coordinate service providers, track preventive and corrective maintenance schedules, and ensure timely resolution of facility requests and incidents with proper documentation.
Compliance & Safety: Support compliance with statutory and regulatory requirements by maintaining records, coordinating inspections, and preparing audit documentation. Assist in safety drills, emergency preparedness, and incident follow-up, escalating risks or non-compliance promptly.
Vendor & Contract Management: Coordinate key service providers such as security and cleaning, while supporting administration for outsourced vendors (M&E, pest control, waste, landscaping). Monitor SLA/KPI performance, track service reports, and escalate recurring issues. Assist with cost administration, including quotations, spend tracking, and invoice verification.
Projects & Fit-Out: Provide support for facility improvement works, minor fit-outs, and asset replacements. Coordinate schedules, liaise with landlords and consultants, and ensure smooth handovers with proper defect management. Assist with budgeting and reporting for minor works.
Sustainability & Continuous Improvement: Contribute to sustainability initiatives such as energy monitoring, waste segregation, and utilities tracking. Prepare routine facilities reports (response times, SLA updates, utilities, incidents) to support governance. Identify opportunities for process improvements and assist in implementing enhancements to service delivery and user experience.
Requirements
Experience: 1–3 years in facilities operations, building services, workplace support, or vendor coordination. Exposure to outsourced services and maintenance coordination is an advantage.
Education & Certification: Diploma (or higher) in Facilities Management, Building Services/Engineering, or related field. Fire Safety Manager (FSM) certification is mandatory.
Skills & Competencies: Basic knowledge of M&E/HVAC/fire safety systems, contractor coordination, and documentation. Comfortable with reporting tools (Excel/trackers) and compliance requirements.
