Job Title: Facility Management and Admin Lead
Location: Savli, Vadodara

Role Overview
As the Facility Management and Admin Lead, you will be responsible for overseeing and optimizing all administrative functions across the site facility.
You will ensure high standards of service delivery in canteen management, security management, housekeeping & horticulture management, Inventory management, general administration, employee transportation, collaboration with IT and guest-facility services, Vendor management of all Facility related vendor partners, while also handling liaison activities with external agencies.
This role requires a hands-on lead who has driven continuous improvement initiatives (5S, Kaizen, TQM), has exposure to audit and compliance, and is adept at leveraging automation tools to enhance efficiency.
Key Responsibilities
Manage contractual people under different categories of facility as mentioned below, Below is detailed job description: -
· Canteen Management
o Lead Canteen committee and meetings.
o Supervise vendor selection, menu planning, and quality control. Vendor facility visit.
o Monitor food safety and hygiene standards; ensure compliance with FSSAI norms.
o Manage budget, billing, and timely vendor payments.
· Security Management
o Oversee deployment of security personnel, CCTV monitoring, and access controls.
o Coordinate periodic security drills and compliance audits.
o Liaise with police and internal stakeholders on incident management and investigations.
· Liaison Activities
o Maintain relationships with local bodies, police stations, and statutory authorities.
o Secure requisite approvals, licenses, and clearances for facility operations.
o Act as point-of-contact for audits, inspections, and community outreach.
· Housekeeping & Facilities
o Ensure daily housekeeping routines in plant, offices, common areas.
o Conduct facility walkthroughs to identify maintenance needs; track closure of work orders.
o Manage contracts for housekeeping, pest control, waste management, and landscaping.
· Horticulture and Gardening
o Daily cleaning work and garden maintenance.
o Pest Control Management
· Travel Management
o Transportation Management in Company provided transportation.
o Supervise operations hotel & guest accommodations.
o Handle reservations and logistics for lodging and corporate travel bookings.
o Negotiate with hotels, transport vendors, and travel agents to optimize cost and service.
· Continuous Improvement & Quality Initiatives
o Support in 5S, Kaizen events, and TQM projects; track implementation and sustainment.
o Support audits and make necessary arrangements requirements.
· General Administration:
o Lead and support in events, trainings, new initiatives and outbound activities.
o Lead and support in Inventory Management for Canteen items, Inventory Management, IT assets, Gifts, Stationery, Visiting Cards, uniforms.
o Vendor management of all Facility related vendor partners and PR/PO processes.
Qualifications & Experience
- Bachelor’s degree + Masters/ PGD in HR/Hospitality Management
- Minimum 5–8 years of progressive experience in administration / facilities management, preferably within manufacturing or large corporate environments.
- Demonstrated experience in canteen and security management, and working with local authorities.
- Proven track record of implementing 5S, Kaizen, and TQM methodologies.
- Hands-on experience with automation tools and facility management software.
