About the role:
Instrumentl is looking for an Event Marketing Manager to own and execute our conference and in-person event program end-to-end. You'll be the driving force behind how Instrumentl shows up in person from evaluating which events to attend, to planning logistics and creative concepting, to making sure every booth, happy hour, and touchpoint generates real pipeline impact. Our current mix includes marquee nonprofit sector conferences like GrantSummit, ICON, and AGT, as well as emerging integration partner events like Sage.
This is an important IC role within the company for someone who has run the full event lifecycle multiple times over, can juggle moving pieces across vendors and internal teams, and knows how to connect on-the-ground execution back to strategic and revenue outcomes. You'll be a key voice across Sales, PMM, Partnerships, and Virtual Events, bringing field intelligence into the teams who need it most.
This is a remote role, but you must be based in the SF Bay Area. You'll occasionally need to be on-site as needed to receive and reship event materials between conferences, so local proximity to the office is required.
What you’ll do
Event Strategy & Selection
Own research and recommendations for which conferences and field events Instrumentl should invest in
Build and maintain an event calendar aligned with marketing and revenue goals
Develop a clear POV on where we show up, why it matters, and what success looks like
Track spend against budget and flag opportunities to improve ROI
End-to-End Conference Management
Own every phase of conference execution including booth logistics, organizer relationships, registrations, cross-functional coordination, swag and shipping
Build repeatable playbooks so the program scales smoothly
Partner with Sales, RevOps, PMM, Partnerships, and Virtual Events on pre- and post-event outreach
Plan ancillary events (happy hours, dinners) that deepen relationships with prospects and customers
Manage vendor relationships and negotiate contracts to maximize value
Owned Events Program Management
Help define what Instrumentl's in-person presence looks like beyond conferences
Own programs end-to-end including venue sourcing, guest lists, invites, onsite hosting, and follow-up
Build the playbook from scratch (city selection, formats, budget guardrails) so it's repeatable from day one
Surface insights from these events to cross-functional teams
Lead Capture & ROI Measurement
Own lead capture at events and ensure clean, timely handoff to RevOps and Sales
Track performance against pipeline goals including leads, meetings booked, and opportunities generated, with strong awareness of cost efficiency and ROI
Produce post-event recaps with insights and recommendations
Be the company's eyes and ears in the field by synthesizing customer sentiment, competitive presence, and market trends into a regular feedback loop
Internal Communication & Coordination
Manage event Slack channels, run kick-off meetings, and keep stakeholders informed throughout the planning cycle
Proactively flag blockers and dependencies across teams
What we’re looking for
Required
4–7 years of B2B event marketing experience in a SaaS or tech environment
A track record of owning successful conference and trade show programs end-to-end including event prioritization, budget management, cross-functional coordination, vendor partnership, onsite logistics and ownership of business outcomes
Comfort operating in a fast-moving startup environment; you're equally capable of thinking strategically and setting up the booth kit
You bring a spirit of operational rigor and continuous improvement; you're always looking for ways to make the next time better and have an eye for efficiency
Ability to travel up to 30% of the time
Nice to Have
Experience working with or selling into nonprofits, or familiarity with the grants management space
Experience with startups or demonstrated ability to build and scale event programs from scratch, including creating playbooks, processes, and repeatable frameworks
Experience marketing to a mission-driven buyer or community
Experience leading owned event formats (roundtables, partner events, community events, etc)
Compensation & Benefits
For US-based candidates, the target salary range is $121,500 – $145,000 USD + equity. Final compensation is determined based on experience, skillset, scope, interview performance, and geographic location.
