About the Opportunity

Gallery Coordinator | DZP

David Zwirner seeks a Gallery Coordinator at its Paris location for immediate start. This is a unique and dynamic opportunity for an individual who is looking to learn many aspects of gallery operations.

The Gallery Coordinator will work alongside the Director of Business Operations, focusing primarily on day-to-day operations, but also on medium and long-term projects related to the overall management of the gallery (including exhibitions, accounting, facilities, and human resources). In this capacity and across all responsibilities, the Gallery Coordinator will remain committed to upholding the gallery’s standards, as well as understanding its culture and workplace dynamics to ensure appropriate solutions are found and executed.

What you’ll do:

Equipment & Vendors:

  • Under the supervision of the Director of Business Operations, the Gallery Coordinator is responsible for maintaining smooth and stable operating conditions for the gallery. This includes developing a thorough understanding of the building’s history and equipment to effectively manage facilities-related vendors and schedule maintenance accordingly. The Gallery Coordinator will maintain up-to-date vendor records, supervise all on-site vendor activity, conduct annual vendor performance reviews, and research comparative costs to ensure competitive pricing.
  • Conduct regular walkthroughs of public and private gallery spaces, reporting any required repairs or improvements to the Director of Business Operations.
  • Liaise with the IT team to ensure optimal working conditions (e.g., functioning devices, regular software updates, and a reliable IT infrastructure/CCTV).

Human Resources

  • Support the Director of Business Operations with onboarding and offboarding processes for both staff and interns.
  • Ensure key recurring communications are promptly shared with employees.
  • Manage and oversee interns daily on all tasks related to gallery management, and ensure that cross-departmental intern manuals are kept up to date.
  • Lead on all staff enrichment activities (e.g., staff birthdays, fitness classes etc).

Hospitality

  • Management of the David Zwirner residence (booking, preps, overall coordination and vendor oversight, oversee required maintenance/upkeep, check-in/check-out). The Gallery Coordinator shall be a DZP hospitality champion.
  • Conduct regular walkthroughs of the David Zwirner residence, reporting any required repairs or improvements to the Director of Business Operations.

Exhibitions and events:

  • Participate in exhibition meetings led by the Director of Business Operations, and take meeting minutes.
  • Complete any tasks assigned to the Gallery Coordinator in the lead up on an exhibition opening.
  • Provide logistical support to the Marketing & Communications Coordinator on all non-core events (talks, panels, poetry readings, etc.).

Office support:

  • Reconcile credit card expenses.
  • Code and submit vendors' invoices for payment.

Position hours are Monday to Friday, 11 am to 7 pm. Candidates will occasionally need to work additional hours.

What we would like you to have:

  • The ideal candidate will have at least 2 years related experience or the equivalent.
  • Superior communication skills
  • Ability to time manage and meet deadlines.
  • Ability to work with multiple teams is required.
  • Full professional proficiency in French and English.
  • Strong attention to detail.
