Global HR Operations Specialist

You will act as the subject-matter expert for Polish HR administration, monitor legislative changes and translate them into operational updates. You will process and maintain onboarding, offboarding, internal transfers, promotions, compensation updates, absences, and terminations across multiple jurisdictions. You will configure and optimize HiBob and related HRIS workflows, ensure data integrity and audit-ready employee records, coordinate with Payroll and external providers, provide operational HR support to employees, and identify opportunities to harmonize and standardize HR operational processes across the EMEA region while respecting local legal requirements.

Responsibilities

  • Act as subject-matter expert for Polish HR administration and translate legislative updates into operational impact
  • Execute and maintain HR operational processes across the employee lifecycle including onboarding and offboarding
  • Oversee employee lifecycle transactions in HiBob or related HRIS platform
  • Own and continuously optimize HRIS configuration, workflows, and data integrity
  • Maintain complete, accurate, and audit-ready employee files and HR records
  • Coordinate HR operations with Payroll Team and external providers across multiple jurisdictions
  • Provide operational HR support to employees on employment-related topics
  • Identify and implement opportunities to harmonize and standardize HR workflows across EMEA

Requirements

  • 4+ years of experience in HR Operations, HR Administration, HR Specialist, or related role
  • Bachelor's degree in Legal, Human Resources, Business Administration, or related field
  • Strong practical knowledge of the Polish Labor Code and HR administration practices
  • Strong practical knowledge of EMEA labor law and its application in daily HR operations
  • Strong understanding of the full employee lifecycle from an operational perspective
  • Proven hands-on experience with HiBob or related HRIS platform including onboarding, internal transfers, promotions, compensation changes, offboarding, org structure maintenance, custom fields, reporting, and people analytics
  • High attention to detail and strong organizational skills
  • English level C1 and Polish level B2+
  • Experience working in international or multi-country environments (nice to have)
  • Experience supporting audits or labor inspections (nice to have)
  • Experience with EU employment regulations and practices (nice to have)
  • Experience supporting HR processes during legal entity setup or restructuring (nice to have)
