GOVERNMENT SERVICES OPERATIONS COORDINATOR

ABOUT THE ROLE

The Government Services Operations Coordinator plays a critical role in supporting and executing day-to-day operational workflows for government print and mailing programs. This position is responsible for ensuring accurate job setup, reporting, production releases, and invoicing while serving as a key point of coordination between clients, production teams, and internal stakeholders.

RESPONSIBILITIES

  • Generate and distribute daily production and mailing reports (e.g., DMCS, VA programs)
  • Maintain accurate tracking of job status, quantities, and completion metrics
  • Identify and resolve discrepancies in production, mailing, and reporting data
  • Communicate status updates and reporting outputs to internal teams and external clients
  • Create daily production releases outlining job requirements, priorities, and quantities
  • Coordinate across QC, digital print, and mailing teams to ensure timely execution
  • Monitor job progress and proactively address issues (e.g., missing files, delayed jobs)
  • Support end-of-day reconciliation and reporting of completed and outstanding work
  • Prepare and compile invoicing packages for government clients
  • Generate invoices, collect and validate supporting documentation, and ensure invoicing accuracy and adherence to strict deadlines
  • Investigate and resolve operational issues (e.g., data mismatches, missing or delayed jobs, and duplicate or erroneous mailings)
  • Escalate complex or high-risk issues to leadership as needed
  • Recommend process improvements where feasible within system constraints
  • Serve as a point of contact for government clients and provide guidance to internal teams on job requirements and reporting needs

QUALIFICATIONS

  • 1+ years of experience in project coordination, operations, or production environments
  • Strong data entry and reporting proficiency
  • Experience working with Microsoft Excel (formulas, data validation, and tracking)
  • Ability to manage multiple deadlines in a fast-paced environment
  • Experience in print, mailing, or production environments is preferred
  • Familiarity with ERP/workflow systems (e.g., PACE, Veracore, or ShipStore) is preferred
  • Experience with government contracts or regulated workflows is preferred
  • Will be required to complete and pass a Public Trust Security Clearance

PHYSICAL REQUIREMENTS

  • Prolonged sitting and extensive data entry and typing
  • Minimal lifting of office equipment and supplies
  • May be required to frequently lift up to 10 lbs

WORK ENVIRONMENT

This position is predominantly held in a clerical environment and may also work or access the production floor in an industrial warehouse setting.

  • This job operates in a clerical, office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets.
  • While performing the duties of this job, the employee is frequently exposed to fumes or airborne particles, moving mechanical parts, and vibration. The noise level in the work environment can be loud.
