Graduate Assistant, Office of the President
Summary
The Administrative Graduate Assistant serves as a key staff member in the Office of the President by providing professional support and assistance. The position serves as the initial impression of the Office of the President. The Administrative Graduate Student Assistant represents the Office of the President to the internal and external constituents who interact with the University and the President.
The Administrative Graduate Assistant handles details of a highly confidential and critical nature and manages multiple tasks.
Office working hours are 8:30am – 5:00pm which will be split between the two Graduate Assistants and adjusted weeks with events to equal 20 hours.
Essential Functions
1. Serves as front line support to the Office of the President:
Greets visitors to the office
Provides accurate information or refers guests to appropriate University personnel.
Answers the main phone lines for Office of the President. Makes calls on behalf of the Office of the President, when directed.
Receives and reviews mail daily for both the unaddressed University mail and the office of the President. Sorts general mail and redirects to appropriate University department. Distributes mail for President and coordinates follow-up action when needed or matters of urgency.
Serves as President’s house liaison for facilities and events. Will be the primary person to attend events at the President’s House to ensure all services are provided and needs are met.
Serves as the Social media content coordinator, capturing pictures of the President during events, and then uploading photos to the respective share folders, and providing the SM team to post on
the President’s SM accounts with a 24 hour- turn around time frame.
Serves as the primary Liaison for the President’s Society student club. (Coordinating meetings, assigning projects from OOP, communications, etc.)
Responsible for scheduling all events in the President’s House calendar for tracking and data reporting.
Assists the AVP, Chief of Staff and Administrative Coordinator with coordination and logistics for divisional events/meetings (i.e., Board Day events, Dinners, Lunches, University Holiday Party, President’s home events etc.)
2. General administrative support to other areas within the Office of the President:
Handles ordering of flowers and gifts for the Office of the President, as requested.
Provides support with outgoing correspondence on President’s stationary, letterhead, etc.
Assists with scheduling meetings and managing the calendar of the AVP, Chief of Staff, and Admin Coordinator.
Assists with monthly reconciling on P-Cards, and processing approved invoices in WorkDay database.
Assists with room reservations and catering requests as needed.
Attends planning meetings and other University meetings, as requested.
Serves on University committees, as requested.
Performs other duties as requested.
Qualifications/Requirements
Bachelor's degree in any field of study required.
Must have a valid Driver's License.
Availability to work evenings and weekends as required.
