The Graduate Program Coordinator II manages the processing of graduate student admissions and recruitment activities, guides student success initiatives, and maintains accurate data on students and programs. Supports program initiatives to enhance student success and effectiveness.

What you need to know

Salary: $57,000 annual

Required Education and Experience:

  • Bachelor’s degree or equivalent combination of education and experience.

  • One (1) year of experience in program coordination or a related field.

Preferred Qualifications:

  • One (1) or more years of experience in an academic or medical education setting, specifically working with graduate curricula.

  • Experience working with faculty, staff and students

  • Familiarity with university policies and procedures related to graduate education.

  • Experience with student information systems (e.g., Banner, PeopleSoft, Slate, or similar)

Required Knowledge, Skills, and Abilities:

  • Strong organizational and record-keeping skills.

  • Effective communication and interpersonal skills.

  • Familiarity with event planning and coordination.

  • Understanding of graduate admissions and program operations.

  • Knowledge of academic advising principles and student support

  • Proficiency in standard office software and technology.

  • Ability to work with confidential information.

  • Ability to multitask and work cooperatively with others.


Responsibilities:

Program Support

  • Acts as the primary administrative point of contact and liaison for the Program Director, ensuring consistent communication and operational alignment.

  • Coordinates program activities and resources across both Bryan-College Station and Houston campuses including liaising with the Houston coordinator.

  • Facilitates the Graduate Program Committee (GPC) operations, including preparing agendas and documentation for reporting to the Graduate Instruction Committee (GIC).

  • Ensures all program actions align with the Texas A&M University System policies, regulations, and procedures.

  • Responsible for the annual review and updating of the PhD Program Handbook to ensure alignment with both TAMU and Office of Graduate Studies (OGS) policies.

  • Manages the HR coordination for students, specifically overseeing the hiring and appointment process for Graduate Assistant Researchers (GARs) at 0.5 FTE.

  • Performs essential administrative tasks including ad hoc responsibilities as assigned, including processing financial transactions such as student expense reports, administration for poster printing and maintaining program files.

Admissions and Recruitment

  • Participates in graduate student admission and/or recruitment activities.

  • Guides the PhD admission process, including administrative coordination of the admissions committee.

  • Monitors the applications for the program, ensuring all materials are available for interviews.

  • Manages interview events including faculty surveys, TAMU symposiums and travel.

Graduate Student Events

  • Plans and executes seminars, retreats, and orientations that accommodate students in both Bryan-College Station and Houston.

  • Coordinates degree milestones, such as preliminary exams, final exams etc.

  • Coordinates and supports the production of events or activities for graduate students.

  • Provides administrative support and coordination for Office of Graduate Studies special events and university-wide graduate initiatives.

Data Management

  • Maintains precise data for PhD students, tracking their progress through two distinct curricula (medical and graduate).

  • Generates and analyzes reports on student progress and program outcomes to ensure timely graduation.

  • Maintains accurate data on student research progress, publications, and clinical evaluations.

  • Prepares internal data summaries for the GPC and GIC to assist in program evaluation and resource allocation.

Student Success

  • Guides student success activities, addressing the academic and professional development needs of doctoral students.

  • Helps support the Graduate Student Organization.

  • Other duties as assigned
