Home Care Operations Coordinator

Schedule: Full Time | 40 hours per week | 8:00 am - 4:30 pm | Monday - Friday

What You'll Do In This Role:
The Home Care Operations Coordinator is a great opportunity for an organized, detail-oriented professional who enjoys making a meaningful impact behind the scenes. Supporting our Muskegon and Holland Home Care teams, you'll coordinate essential services, medical equipment, and supplies while ensuring accurate documentation and regulatory compliance. Lead Procurement and Supply Management
  • Serve as the process owner for procurement of Home Care services, personal emergency response systems, oxygen, products, and supplies.
Billing Reconciliation
  • Reconcile Home Care department billing to authorized care and services to ensure accuracy and compliance.
Quality Assurance, Auditing & Observation
  • Oversee quality assurance activities, including record reviews, internal audits, home care observation visits, and support audit preparation to ensure compliance with regulatory and organizational requirements.
Scheduling Support and Data Management
  • Provide immediate support to the centralized scheduler as needed, including coverage in their absence.
  • Ensure departmental databases are current and accurate, and monitor the timely completion of assigned staff trainings.
Process Improvement and Performance Initiatives
  • Participate in QAPI, Business Plan development, and other process improvement initiatives as identified by the Home Care Manager.
Training, Development & Competency Activities
  • Support department training and development efforts, including participation in training activities and coordination of competency skills assessments.
Partnership & Contract Management
  • Build and maintain strong partnerships with contracted home care agencies to ensure regulatory and quality of care expectations are met.
On-Call Home Care Support
  • Provide Home Care on-call services outside standard business hours (M–F, 8:00am–4:30pm), with compensation in accordance with the on-call policy.

  • Minimum of three (3) years customer service training and database systems
  • Minimum of one (1) year working with frail seniors
  • Prior experience in home care, home health, healthcare operations, or related field
  • Proficiency with electronic health records, care management systems, and common office software
  • Strong organizational and communication skills with the ability to prioritize tasks and manage multiple responsibilities.
  • High school diploma or GED required; Associate’s or Bachelor’s degree in healthcare, business, human services, or related field preferred.
  • Must possess current CPR certification by AHA or be willing and able to obtain as offered by LifeCircles.
  • Must have reliable transportation and a current valid Michigan's driver's license.
