How You’ll Make a Difference (Essential Functions)
The Scheduler IPU, under the supervision of IPU leadership, is responsible for scheduling clinical staff to ensure appropriate coverage across all clinical practice sites. This includes working with staff and managers to confirm cares provided to all of our patients based on the Agrace care model and using multiple software systems and methods of tracking and communication.
Key Responsibilities
Schedule Creation and Maintenance
- Monitors and updates staff working schedules based on staff availability (i.e. unplanned absence).
- Understands matrix and ratios to ensure staffing needs are met.
- Communicates staff schedules to staff via scheduling software and phone/email as necessary.
- Listens and collaborates with staff regarding assignment changes to increase efficiency.
- Communicates changes or updates with staff as patient needs vary (i.e. patient deaths, admissions, high/low census).
- Provides responsive customer service in a timely manner.
- Utilizes staffing guidelines to collaborate with management in determining staff PTO schedules.
- Schedules mandatory required meetings for the Certified Nursing Assistants.
- Assists with creative problem solving for employee leave of absence or unplanned absence coverage.
Administrative Support
- Coordinate general meetings including scheduling, sending invitations, preparing materials and agendas, reserving room, assisting with technology, taking and distributing meeting notes, etc.
- Generate and distribute IPU correspondence as directed by IPU Leadership.
- Act as backup for Unit Assistant and/or Clinical Assistant when needed.
Other Duties
- Participate in internal work groups, meetings and committees relative to position responsibilities.

You Bring (Qualifications)
- High school diploma or GED or equivalent combination of education and work experience
- 1-3 years of administrative support experience
- Intermediate Microsoft Office Suite Skills
- Experience using electronic health record
- Ability to work effective and cooperatively with others
- Ability to maintain confidentiality about patients, families, caregivers, staff, donors, and organizational intellectual property.
- Ability to use proper body mechanics and standard precautions.
- Ability to be flexible in time and task to meet organizational needs
