HR Coordinator
Location: Hybrid (minimum - 1 day a month in the office in Minnetonka, MN)
Hourly Compensation: $22.60 - $27.40 ($47,000-$57,000 annualized)
The Human Resources Coordinator provides administrative and operational support across Human Resources and Talent Acquisition. This role serves as a key point of coordination for recruiting, onboarding, employee records, compliance documentation, and HR processes. The HR Coordinator supports efficient, accurate, and compliant HR operations while helping deliver a positive candidate and employee experience throughout the employment lifecycle.
Working closely with the Chief People Officer, HR Generalist, recruiters, hiring managers, and other internal partners, this position helps ensure HR processes are executed efficiently, consistently, and in compliance with organizational policies and applicable laws.
This position is ideal for an individual interested in building a career in Human Resources and offers exposure to multiple areas of the employee lifecycle. We are only considering individuals in Minnesota.
Key Responsibilities:
Talent Acquisition Coordination
• Partner with recruiters and hiring managers to confirm role requirements, interview process, target timelines, and hiring priorities.
• Post positions, maintain applicant tracking system records, and ensure job descriptions and requisitions are accurate and current.
• Support coordination of interviews including scheduling, meeting logistics, interview materials, and candidate communications for identified positions.
• Assist with offer letter preparation and coordination of pre-employment activities, including background studies, employment verifications, reference checks, and other onboarding requirements.
• Support recruiting events, career fairs, and other talent acquisition initiatives as directed.
• Recommend process improvements that enhance recruiting efficiency and the candidate experience.
HR Operations & Administration
• Coordinate onboarding activities for new hires, including employment documentation, Form I-9 completion, HRIS transactions, welcome communications, and technology coordination.
• Maintain accurate employee records and personnel files in accordance with organizational policies and applicable laws.
• Process employee status changes, compensation updates, and other HRIS transactions.
• Assist with workers' compensation documentation, employment and wage verification requests, and other routine HR administrative processes.
• Generate reports and assist with audits, compliance activities, and HR data requests.
• Support benefits administration activities, including invoice reconciliation and enrollment-related administrative tasks.
• Coordinate employee recognition and other HR programs as assigned.
Employee & Department Support
• Monitor the HR inbox and voicemail, respond to routine administrative inquiries, and route questions to the appropriate HR team member.
• Assist employees with HR systems, including password resets and basic navigation of HR technology.
• Coordinate with IT regarding employee access, equipment, and onboarding needs.
• Maintain HR forms, templates, process documentation, and department resources.
• Provide administrative support for HR initiatives, meetings, and special projects.
Compliance & Confidentiality
• Maintain confidential employee and candidate information with professionalism and discretion.
• Ensure HR and recruiting documentation is accurate, complete, and maintained in accordance with organizational policies and legal requirements.
• Support departmental efforts to maintain compliance with federal, state, and organizational employment requirements.
• Participate in continuous improvement initiatives designed to enhance HR processes, efficiency, and service delivery.
Qualifications:
• Associate degree in Human Resources, Business Administration, or a related field, or an equivalent combination of education and relevant experience.
• 1-2 years’ experience in Human Resources, Talent Acquisition, Recruiting, Administrative Support, or a related field.
• Working knowledge of employment laws and HR best practices applicable to administrative HR functions.
• Experience working in healthcare, human services, nonprofit, or multi-site organizations preferred.
• Proficiency with Microsoft Office applications and the ability to quickly learn HR technology systems.
• Demonstrated customer service skills with the ability to interact professionally and courteously with employees, candidates, and leaders.
• Experience supporting recruiting, onboarding, or other Human Resources processes.
• Experience using HRIS and/or applicant tracking systems (UKG experience preferred).
• Knowledge of employment eligibility verification (Form I-9) requirements preferred.
• Strong organizational skills and attention to detail.
• Excellent verbal and written communication skills.
• Ability to manage multiple priorities and deadlines.
• Ability to maintain confidentiality and exercise sound judgment when handling sensitive information.
TRAVEL
Ability to travel to the corporate office and other sites as directed.
