HR & Corporate Administration Specialist

Job Summary

We are seeking a proactive and detail-oriented HR & Corporate Administration Specialist to manage end-to-end HR operations, including recruitment, payroll, employee relations, and compliance with Singapore employment regulations, while also supporting key corporate administration matters such as IRAS and ACRA filings, shareholding administration, and investor-related coordination. The ideal candidate will play an important role in supporting business operations and enhancing employee experience.

Key Responsibilities

1. Recruitment & Onboarding

  • Manage full-cycle recruitment, including job postings, candidate screening, interview coordination, and offer management

  • Coordinate onboarding to ensure smooth integration of new hires

  • Maintain recruitment metrics and support continuous improvement of hiring processes

2. Payroll & Compensation

  • Process monthly payroll accurately and on time

  • Manage employee benefits, expense claims, and statutory contributions

  • Handle salary adjustments, bonuses, and final payments

3. Work Pass & Employment Compliance

  • Manage work pass applications, renewals, and cancellations (EP, SP, Work Permit)

  • Ensure compliance with Singapore employment regulations and Ministry of Manpower requirements

  • Stay updated on labor laws and HR best practices

4. Employee Relations

  • Address employee inquiries, grievances, and disciplinary matters professionally

  • Support performance management and employee engagement initiatives

  • Foster a positive and collaborative workplace culture

5. HR Administration & Reporting

  • Maintain accurate employee records and HR systems

  • Prepare HR reports, including headcount, turnover, and payroll summaries

  • Support internal and external audits and ensure proper documentation

6. Corporate Administration & Compliance

  • Support corporate secretarial matters, including ACRA filings, annual return submissions, and AGM documentation

  • Coordinate IRAS-related filings and ensure timely statutory compliance

  • Assist with shareholding management, including ESOP administration and share buyback documentation

  • Support investor relations and investor-related administrative matters

7. Policy & Process Improvement

  • Assist in developing and implementing HR policies, SOPs, and internal controls

  • Identify opportunities to improve HR and administrative processes for greater efficiency

Requirements

  • Diploma or Degree in Human Resource Management, Business Administration, or a related field

  • Strong knowledge of Singapore employment laws and HR practices

  • Experience in payroll processing and work pass applications

  • Proficient in MS Office and HR systems

  • Strong interpersonal and communication skills

  • Ability to work independently and handle confidential information

Preferred Qualifications

  • 3+ years of relevant HR and/or corporate administration experience, preferably in Singapore

  • Experience handling full-spectrum HR functions

  • Familiarity with HRIS systems such as Talenox
