HR Operations Administrator
We are looking for a highly organized, detail-oriented, and proactive HR Operations & Employee Services Specialist to join our team. This role is ideal for someone who enjoys managing processes, maintaining accurate records, ensuring compliance, and providing exceptional support to employees and clients.
The successful candidate will play a key role in employee onboarding, HR administration, records management, workforce deployment support, reporting, and compliance tracking. We are looking for someone who takes ownership of their work, has strong attention to detail, thinks critically, and continuously looks for ways to improve processes and operational efficiency.
Employee Onboarding & HR Administration
- Prepare and send Job Offers, Employment Contracts, and onboarding documents.
- Coordinate onboarding activities and ensure all pre-employment requirements are completed on time.
- Maintain accurate employee records and update employee information in the HRIS and other internal systems.
Employee Records & Compliance
- Monitor and maintain employee records, documentation, and databases to ensure accuracy and completeness.
- Track employee requirements and follow up on outstanding documents.
- Review forms and records for completeness, accuracy, and compliance before processing.
Client & Workforce Support
- Communicate with clients regarding employee deployment, cost estimates, and related administrative matters.
- Coordinate redeployment activities and ensure all required documentation is completed accurately.
- Serve as a liaison between employees, clients, and internal stakeholders to support smooth operations.
Reporting & Tracking
- Maintain onboarding, compliance, and employee trackers and databases.
- Prepare HR reports and provide regular updates on onboarding progress, pending requirements, and operational activities.
- Monitor outstanding action items and ensure timely follow-up and resolution.
Process Improvement & Ownership
- Take ownership of assigned responsibilities and ensure tasks are completed accurately and on time.
- Proactively identify issues, escalate concerns when necessary, and drive resolution.
- Recommend and support process improvements that enhance efficiency, accuracy, and employee experience.
- Experience in HR administration, employee onboarding, HR operations, recruitment coordination, workforce administration, records management, or similar administrative roles.
- Experience working with HRIS platforms, databases, trackers, and administrative systems.
- Experience managing multiple processes, deadlines, and priorities simultaneously.
