IN_RBIN_Senior Officer_Administrative, Secretarial Services

Organize and manage appropriate schedule management

  • Organize calendars and appointments by prioritizing multiple internal and external meetings, maintaining a list of contacts to ensure efficient use of leadership time

Manage Meetings

  • Organize meetings, audio/video conferences, workshops and logistics ensuring all necessary arrangements are met for achieving successful meetings

Liaise and manage Stakeholders

  • Communicate and close loop with internal and external stakeholders about meeting schedules and agenda, travel plans by maintaining confidentiality of sensitive information

Manage Travel and accommodation

  • Organize travel arrangement including flights, hotels and transportation ensuring a comfortable travel experience and timely settlement of the travel bills as per internal policy

Provide Administrative Support

  • Support for Presentations, Data management, relevant events/workshops, audit coordination, Managing office supplies, report cost center expenses, Asset management and process invoice for smooth flow of business operations

Organize and drive Employee engagement and communication coordination

  • Enable and drive employee engagement and Communication matrix

Education

  • Graduation (BA/ B.Sc/B.Com) or post-graduation in any discipline
  • Secretarial Practice diploma/Course will be an added advantage

Experience

  • 5-8 years' experience as Secretarial or Office Assistant role
  • > 3 years' experience as executive secretary to Senior leadership

Knowledge

  • Competent in Domestic and International travel guidelines and understanding of policies
  • Exposure in working with tight schedules & handling crisis

Functional skills

  • Competent in MS Outlook and Office tools, share point, ppt preparations
  • Competent in communication and interpersonal skills
  • Competent in time management, SAP & IT tools

Purpose of this position is to support senior leadership by acting as a partner in effective management of stakeholders, meeting schedules, travel, administrative support and related tasks while maintaining high confidentiality.
