Key Responsibilities

Data Entry & System Update

  • Enter shipment details into the operating system (e.g. CargoWise/CW1).
  • Update import shipment information such as ETA, vessel details, container numbers, and customer references.
  • Ensure all shipment data is accurately captured in the system.
  • Maintain proper file naming and document uploading in shared folders/system.

Documentation Support

  • Assist in checking completeness of shipping documents: Invoice Packing List Bill of Lading (BL) Arrival Notice Permit documents
  • Verify document information against system records.
  • Support document scanning, filing, and archiving.

Customs & Import Coordination Support

  • Assist the customs team in preparing data required for declaration.
  • Update customs clearance status in the system.
  • Support follow-up on missing documents from customers or agents.
  • Assist in monitoring shipment milestone updates.

Administrative Support

  • Prepare simple reports and data trackers.
  • Support email coordination for shipment status updates.
  • Organize and maintain shipment records.
  • Perform ad-hoc administrative tasks assigned by supervisors.

Requirements

  • Diploma/Degree in Logistics, Business Administration, Supply Chain, or related field.
  • Basic computer literacy and Microsoft Excel skills.
  • Good attention to detail and accuracy.
  • Able to handle repetitive and administrative tasks efficiently.
  • Willing to learn and work in a fast-paced environment.
