About the position

Based in Rome, Italy, and reporting to the Associate Officer, Organizational Development, the Assistant I, Organizational Development and Strategy Office (ODS) will provide administrative, coordination, reporting, and data management support to the ODS team.
The position contributes to policy framework management, organizational development initiatives, change management activities, internal service satisfaction survey processes, organizational reporting, and organizational structure maintenance. The incumbent will support the collection, organization, analysis, and presentation of information and data, assist with documentation tracking and follow-up, and contribute to the preparation of reports, presentations, and communication materials in accordance with established organizational standards and procedures.

Responsibilities

Internal Policy Framework Management and Socialization
• Support the review, formatting, content analysis, and finalization of internal policy framework documents in accordance with established standards.
• Maintain accurate tracking of policy documentation, workflows, and timelines.
• Support the review of policies, procedures, and guidelines to ensure consistency, completeness, and alignment with organizational standards.
• Assist in the development of policy awareness and socialization materials, including news articles, infographics, and other communication products.
• Support updates and maintenance of SharePoint sites, dashboards, and document repositories.
• Follow up with departmental focal points regarding policy development and review processes.
• Facilitate information sharing and coordination across the ODS team.

Change Management and Organizational Development
• Provide administrative and coordination support for organizational development and change management projects.
• Support the implementation and administration of the internal Services Satisfaction Survey, including coordination with internal stakeholders and external service providers.
• Monitor and follow up on improvement action plans resulting from survey findings.
• Collect, consolidate, and organize information and data to support reporting and monitoring activities.
• Support the review and development of strategies, guidelines, procedures, and tools related to change management and organizational effectiveness.

Reporting, Communications and Knowledge Management
• Assist in the preparation of reports, dashboards, presentations, statistical analyses, and graphical materials.
• Support the continuous enhancement and maintenance of the ODS SharePoint site.
• Assist in the organization and delivery of institutional training activities led by ODS.
• Contribute to the preparation and dissemination of materials that promote awareness of ODS initiatives and services.
• Support knowledge management, information accessibility, and organizational learning efforts.

Organizational Structure Support
• Support the maintenance and updating of organizational structure documentation and organograms.
• Follow up with relevant stakeholders to ensure organizational structure information remains current and accurate.

General Administrative Support
• Provide administrative support to the ODS team, including procurement requests, travel arrangements, scheduling, and related activities.
• Follow up with internal stakeholders to ensure timely completion of assignments and deliverables.
• Perform other duties related to organizational development and strategy functions as assigned.



Requirements



• Secondary school education supplemented by office training or related courses.
• A Bachelor's degree in Organizational Development, Sociology, Communications, Statistics, Management, Business Administration, Law, Economics, or a related field is highly desirable.
• Proven experience in communications, policy analysis, document review and editing, and development of awareness materials.
• Experience supporting customer satisfaction surveys, business analysis, HR analytics, business intelligence, or similar initiatives.
• Experience supporting organizational development processes, policy frameworks, change management initiatives, or organizational structure activities is highly desirable.
• Project management, monitoring, evaluation, and learning experience is an asset.
• Previous experience in an international organization or multicultural environment is desirable.
• Fluency in English and the predominant language of the duty station is required.
• Excellent written and spoken English communication skills.
• Strong analytical skills and attention to detail.
• Good interpersonal, collaboration, and teamwork skills.
• Ability to establish and maintain effective relationships with individuals from diverse cultural and professional backgrounds.
• Strong organizational, planning, and time-management skills.
• Results-oriented with a proactive customer-service approach.
• Good working knowledge of Microsoft Office applications.

Benefits

Terms of employment

This is a temporary support position, open only to internal candidates, namely: regular staff members, complementary staff members and individuals who are currently employed or have completed a contract with Bioversity in the last 12 months. The monthly salary will be EUR 2,980, and the contract will be for a period of 6 months.
