About the position<\/b>
<\/span><\/span><\/div>
PLANS unit is looking for an Assistant I to provide operational financial support in relation to the projects that
<\/span><\/span><\/div>
are being developed by the Alliance Research Areas and Programs. This involves the provision of assistance
<\/span><\/span><\/div>
to budgetary analysis and financial support as project activities are being carried out (coordinating opening
<\/span><\/span><\/div>
of a BUS\u2019s, coordinating uploading budgetary information and necessary adjustments). Deliver information
<\/span><\/span><\/div>
to prepare financial reports for projects and handle projects information requirements from donors. Execute
<\/span><\/span><\/div>
and complete transactions consistent with established rules and procedures.<\/span><\/span>

Key duties and responsibilities<\/b><\/span><\/span><\/span><\/span><\/span>
<\/div>
  • Assist the PLANS Office with financial management of grants.<\/span><\/span><\/span><\/span><\/span><\/span>
    <\/li>
    • Prepare cost transfer request for review and approval;<\/span><\/span><\/span>
      <\/li>
    • Support the review of PCA setup inconsistencies using the newly available Power BI (PBI) tool
      and alert the PLANS portfolio support staff accordingly to facilitate the necessary adjustments;<\/span><\/span><\/span><\/li>
    • Collect data and documentation to support the preparation of the financial reports for donors to ensure reconciliation with the accounting records;<\/span><\/span><\/span>
      <\/li>
    • Raise requisitions and RFP\u2019s in the ERP Partner module for sub\-agreement creation;<\/span><\/span><\/span>
      <\/li>
    • Prepare supporting documentation for financial report submissions and audits;<\/span><\/span><\/span>
      <\/li>
    • Execute the activities related to the signature process of financial reports, once all requirements are fulfilled.<\/span><\/span><\/span>
      <\/li><\/ul>
    • Assist the PLANS Office with partner financial reporting and clearance processes.<\/span><\/span>
      <\/li>
      • Review the partner financial reports and ensure that the financial reporting checklist is complete; detect and report issues;<\/span><\/span>
        <\/li>
      • Review the transaction list provided by the partner and ensure it matches with the financial report.<\/span><\/span>
        <\/li>
      • Review supporting evidence provided by the partner and take the necessary actions as needed.<\/span><\/span>
        <\/li><\/ul>
      • Assist the PLANS Office with grant opening and data management in our Enterprise Resource Planning (ERP) system.<\/span><\/span>
        <\/li>
        • Prepare the grant opening template for the Enterprise Resource Planning (ERP) system opening process and ensure institutional costs tab in the ERP project MasterFile is accurately populated;<\/span><\/span>
          <\/li>
        • Prepare budget uploads in a timely manner to ensure budgets in the Enterprise Resource Planning (ERP) system are up to date;<\/span><\/span>
          <\/li><\/ul>
        • Other support tasks as required from the PLANS unit.

          Required qualifications and experience <\/b>

          \u2022 Technology career or equivalent in a relevant field (e.g. economics, accounting, finance, and<\/span>
          <\/span><\/span><\/div>
          related fields);<\/span>
          <\/span><\/span><\/div>
          \u2022 At least one (1) year of relevant work experience in finance units in process\-oriented /transactional<\/span>
          <\/span><\/span><\/div>
          activities;<\/span>

          \u2022 Knowledge of or experience with financial management software;<\/span>
          <\/span><\/span><\/div>
          \u2022 Work experience in an international environment.<\/span><\/span>

          This position is a national<\/b> <\/i>recruited position based in <\/b><\/i>Hanoi, Vietnam<\/b><\/i>. The initial contract will be for 1 year,<\/b><\/i>

          subject to a probation period of 2 <\/i>months, and is renewable depending on performance and availability of
          <\/span><\/span><\/div>
          resources. <\/span><\/span>

          This position is graded at BG4 level, with a minimum basic salary of VND 17,064,154<\/b><\/i> in a scale of BG01 to
          <\/span><\/span><\/div>
          BG14 (BG14 being the highest level according to the CIAT job classification framework policy). We offer a
