Land Coordinator

Position Summary: The Land Coordinator serves as the “Operational Hub” of the Land Department providing support and monitoring land acquisitions and development activities. This role is responsible for maintaining accurate tracking systems, monitoring contractual and development deadlines, coordinating documentation, and supporting land acquisition and development processes from initial pursuit through land purchase takedown and construction

The Land Coordinator maintains tracking systems, monitors contractual and development deadlines, organizes documentation, and supports underwriting and market analysis efforts.

Strategic decisions, negotiations, financial approvals, and land acquisition strategy remain the responsibility of the Vice President and Directors of Land.

Success in this role is measured by accuracy, timeliness, organization, and proactive communication.

Duties / Responsibilities:

Land Pipeline, Acquisition Underwriting & Deadline Management

  • Initially screen, prepare and organize new acquisition opportunities. Organize acquisition files and Prophetic to maintain the master land pipeline tracker for all projects in Active, Under Review, or Archive status. Track all contract-related deadlines including, feasibility timelines, earnest money deposits, closing dates, and lot takedown schedules
  • Coordinate with Project Managers to complete Acquisition Checklists and related underwriting due diligence items, including milestone tracking
  • Proactively notify leadership of upcoming deadlines and potential conflicts
  • Assist in preparing and weekly and monthly land status and land committee summaries

CMA & Market Analysis Support

  • Prepare Comparative Market Analyses to support acquisition review and lot valuations
  • Become expert at Zonda to compile comparable sales data, pricing trends, absorption rates, and relevant market metrics
  • Maintain and update standardized CMA templates and repository of supporting market data for each project
  • The Land Project Coordinator prepares analyses but does not establish pricing strategy or approve acquisition decisions.

Contract & Documentation Coordination

  • Review and summarize primary deal points in acquisition/disposition contracts and key date identification
  • Maintain organized contacts and digital files
  • Coordinate document routing between leadership, legal counsel, title companies, and external parties

HOA Administration (Company-Managed HOAs)

  • Review and compare HOA budgets to reduce cost. Maintain HOA governing documents and official records
  • Review homeowner architectural requests for compliance with bylaws and covenants
  • Process architectural review requests within established timelines
  • Coordinate with legal or third-party vendors as needed

Qualifications

  • 1-4 years of experience in market data coordination, development coordination, real estate operations.
  • Ability to review contracts for key negotiation points, dates, and compliance
  • Proficiency in Excel, Smartsheet, Word, PPT, budgeting, and data organization required
  • Experience preparing CMAs or market analyses preferred
  • Strong organizational and deadline management skills
  • Excellent written and verbal communication skills
  • High attention to detail

Position Type/Expected Hours of Work: This is a full-time, exempt position. Under the Regulations, Part 541, an exempt employee is one who is not entitled to the minimum wage or overtime pay protections of the Fair Labor Standards Act (FLSA). Days and hours of work are [Monday through Friday, between 9:00 a.m. and 5:30 p.m.] This position may work outside of normal business hours to include evenings and weekends as needed.

Travel: Less than 10% of travel is expected for this position.
