JOB PURPOSE
As Executive, Legal & Claims, you will provide essential support to the Chief Legal Officer across the legal and claims function of the FLS Group. You will assist with the review, drafting and proofreading of contracts, manage routine legal requests, handle cargo and related claims from notification through to resolution, and maintain accurate corporate records. Your remit spans due diligence, contract administration, claims handling and recovery, corporate record keeping, KYC/AML documentation, and coordination with internal stakeholders, insurers, brokers and external parties. You will also support compliance and corporate secretarial matters and help ensure proper documentation and follow-up of legal, claims and governance matters across the group.
CORE RESPONSIBILITIES
Legal
- Assist with legal work, including drafting, reviewing and proofreading contracts and routine legal requests.
- Support due diligence activities, including verification of authorisation letters and the review and organisation of corporate, contractual and compliance documents.
- Ensure all legal documentation and corporate records are maintained accurately.
- Maintain and update a contract database or repository to track key dates, including renewals, expiry dates and follow-up actions.
Claims
- Handle cargo, freight and logistics claims from first notification through to closure, including loss, damage, shortage, delay and related claims.
- Open and maintain a claims register tracking status, reserves, recoveries and key deadlines.
- Gather and organise claims documentation, including bills of lading, packing lists, commercial invoices, survey and inspection reports, photographs and correspondence.
- Liaise with insurers, brokers, surveyors, loss adjusters, P&I clubs and counterparties on the progress of claims.
- Carry out first-level assessment of liability and exposure, and escalate significant or contentious claims to the Chief Legal Officer.
- Support recovery and subrogation actions, including time-bar monitoring and preservation of evidence.
- Coordinate with operations and commercial teams on incident reporting and claims prevention.
Compliance and Corporate Secretarial
- Provide administrative support for legal, compliance and corporate secretarial matters.
- Manage Know Your Customer (KYC) and Anti-Money Laundering (AML) documentation requests from banks and external partners.
- Liaise with internal stakeholders and external parties on legal and documentation matters.
- Assist in preparing and coordinating board and shareholder resolutions, minutes, announcements and related governance documents where required.
General
- Act as a backup to the legal function during periods of leave when required.
- Support the Chief Legal Officer on any other ad-hoc duties.
QUALIFICATIONS
- Diploma or Degree in Law from a recognised institution.
- Up to 3 years of relevant legal, claims, compliance or administrative experience, ideally within freight forwarding, shipping, logistics or insurance.
- Familiarity with cargo claims, transport documentation and trade compliance is an advantage.
- Strong organisational skills and attention to detail, with the ability to manage multiple matters and deadlines.
- Clear written and verbal communication and the ability to work with internal teams and external parties across jurisdictions.
- Proficiency in Microsoft Office and document and contract management tools.
