Job Description

An Intake Administrative Legal Aide plays a key role in supporting the intake process for new clients. This position involves assisting with the setup and organization of newly signed cases, coordinating client services, and ensuring all intake documentation is completed accurately and efficiently. The ideal candidate is detail-oriented, adaptable, and able to manage multiple priorities in a fast-paced environment.

Key Responsibilities:

  • Assist with file creation for newly signed cases, ensuring all client information and documentation are properly entered and organized.
  • Coordinate client services by scheduling appointments and setting up clients with the nearest approved medical provider.
  • Prepare and send additional documentation as needed, including termination letters, disengagement letters, and other case-related correspondence during the intake phase.
  • Draft and send emails and communications to different departments within the firm, providers, and internal team members as necessary.
  • Support Intake with additional administrative tasks and projects as assigned.
  • Always ensure compliance with firm procedures and maintain confidentiality standards.

Qualifications:

  • Previous experience in a legal, administrative, or intake support role preferred, but not mandatory.
  • Prior experience in a personal injury law firm preferred, but not mandatory.
  • Strong attention to detail and accuracy in data entry and documentation.
  • Ability to adapt quickly to new processes, system updates, and changing priorities.
  • Excellent organizational and time-management skills, with the ability to prioritize multiple tasks
  • Strong communication and interpersonal skills, both written and verbal.
  • Collaborative mindset and ability to work effectively as part of a team in a fast-paced environment.
  • Familiarity with intake procedures or client onboarding processes is a plus.
  • Bilingual fluency

Requirements:

  • Fully Bilingual (English and Spanish)
  • Sales background.
  • Experience in personal injury is a plus.
  • Your PC or Laptop (A wired connection to your modem is recommended)
  • Headset with noise canceling / quiet place to work in
  • This job is remote, and you will be responsible for your local taxes.
