About the role As a Legal Operations & Project Specialist, you will be the backbone of our legal department. Whether your background is in Legal Operations or pure Project Management, if you love bringing order to chaos and streamlining processes, this role is for you. You will ensure our business operations run smoothly by managing contracts, driving process improvements, and acting as the operational shield for our legal team when it comes to daily administrative tasks.
What you’ll do:
Process & Project Delivery: Coordinate board/shareholder documentation and maintain statutory records. You will treat regulatory compliance and corporate governance like a well-run project with clear deadlines.
Tackle Daily Operations & Ad-hoc Requests: Be the point of contact for business on all legal team related matters
Knowledge Management: Keep our internal resources fresh and accessible by taking ownership of updating the Legal Dott-Wiki and the Group Policy Portal.
Drive Contract Management: Take ownership of our CLM system (SpotDraft). Manage workflows, ensure data integrity, and generate actionable insights for the team.
Optimize Spend: Track budgets, process vendor invoices, coordinate with finance/procurement, and actively identify opportunities for operational efficiencies.
What you bring to the table:
Experience: 3–5 years in Legal Operations, Company Secretarial, OR Project Management, ideally within a scaling or multinational environment.
Mindset: You are a proactive problem-solver who isn't afraid to roll up your sleeves. You don't necessarily need to be a lawyer, but you know how to manage processes, stakeholders, and confidential information efficiently, while balancing big projects with daily operational tasks.
Tech Savviness: Proficiency in standard office suites (G-Suite, MS Office) and a quick aptitude for learning new tools (experience with SpotDraft, DocuSign, or PM tools like Asana/Jira is a strong plus).
Languages: Fluent in Polish and English min. B2
Bonus points if you have:
Formal project management experience or certifications (e.g., PMP, Agile/Scrum).
Experience working with multi-jurisdictional entities or a background in budgeting/financial reporting.
Fluency in a third European language.

💰Salary: 8,800-13,200 PLN gross/monthly. Fixed-term contract (maternity leave cover)
