Legal Secretary (Banking & Finance)

Our client is a globally established international law firm.


The role

They are seeking a proactive and detail-oriented Legal Secretary to join our Banking & Finance practice within a private law firm. This role is responsible for providing high-quality secretarial and administrative support to Partners and Associates, enabling fee-earners to focus on delivering exceptional legal services to clients while ensuring the smooth day-to-day operations of the practice group.

Administrative support

  • Prepare, format, amend and proofread legal documents, correspondence, agreements and presentations
  • Manage document versions and ensure accuracy and consistency in formatting
  • Handle printing, scanning, binding and filing of legal documentation

File Management

  • Open, maintain and close client files in accordance with firm procedures
  • Organise and manage physical and electronic filing systems efficiently
  • Ensure documents and records are properly maintained and updated

Billing & Administrative Support

  • Prepare bills, invoices and assist with billing-related matters
  • Coordinate claims submissions and follow up where necessary
  • Conduct ACRA searches and assist with corporate information retrieval
  • Update and maintain client contact information in InterAction
  • Coordinate conflict checks in compliance with firm policies and procedures

Diary & Travel Management

  • Manage calendars, schedule meetings and coordinate appointments for fee-earners
  • Arrange travel bookings, accommodation and itineraries where required
  • Coordinate meeting logistics including conference room bookings and refreshments

General Support

  • Liaise professionally with clients, external parties and internal stakeholders
  • Provide administrative support to the Banking & Finance team on day-to-day matters
  • Assist with ad hoc assignments and projects as assigned by fee-earners
