Legal Secretary
About the Role
Our client, a leading international law firm, is seeking an experienced Legal Secretary to support an Office Managing Partner. This is a senior support role suited to a candidate who is highly organised, discreet, and comfortable operating in a fast-paced, client-facing environment at the most senior level of the firm.
Key Responsibilities
- Provide comprehensive secretarial and administrative support to the Office Managing Partner, including diary and calendar management, meeting coordination, and travel arrangements
- Draft, format, and proofread correspondence, memoranda, and other documents
- Manage incoming calls, emails, and enquiries, exercising judgment in prioritisation and escalation
- Coordinate client matters, including file opening, billing support, and liaison with internal practice groups
- Prepare expense claims and reconcile invoices
- Liaise with internal stakeholders (partners, associates, business services teams) and external contacts (clients, vendors, regulators) in a professional manner
- Handle confidential and sensitive information with the highest level of discretion
- Support ad hoc projects and firm-wide initiatives as required
Key Requirements
- At least 6–8 years of secretarial experience within a law firm or professional services environment
- Proven experience supporting senior leadership (e.g. partners, directors, or equivalent)
- Excellent written and verbal communication skills
- Strong organisational skills with the ability to manage competing priorities under pressure
- Proficiency in MS Office and document/billing management systems
- High level of professionalism, discretion, and attention to detail
- A proactive, can-do attitude with the ability to work independently
