Legal Secretary

About the Role

Our client, a leading international law firm, is seeking an experienced Legal Secretary to support an Office Managing Partner. This is a senior support role suited to a candidate who is highly organised, discreet, and comfortable operating in a fast-paced, client-facing environment at the most senior level of the firm.

Key Responsibilities

  • Provide comprehensive secretarial and administrative support to the Office Managing Partner, including diary and calendar management, meeting coordination, and travel arrangements
  • Draft, format, and proofread correspondence, memoranda, and other documents
  • Manage incoming calls, emails, and enquiries, exercising judgment in prioritisation and escalation
  • Coordinate client matters, including file opening, billing support, and liaison with internal practice groups
  • Prepare expense claims and reconcile invoices
  • Liaise with internal stakeholders (partners, associates, business services teams) and external contacts (clients, vendors, regulators) in a professional manner
  • Handle confidential and sensitive information with the highest level of discretion
  • Support ad hoc projects and firm-wide initiatives as required

Key Requirements

  • At least 6–8 years of secretarial experience within a law firm or professional services environment
  • Proven experience supporting senior leadership (e.g. partners, directors, or equivalent)
  • Excellent written and verbal communication skills
  • Strong organisational skills with the ability to manage competing priorities under pressure
  • Proficiency in MS Office and document/billing management systems
  • High level of professionalism, discretion, and attention to detail
  • A proactive, can-do attitude with the ability to work independently
