Logistics Assistant (1 year-Contract)
Responsibilities
1. Shipment Coordination
- Arrange and track domestic and international shipments
- Coordinate with freight forwarders, carriers, and warehouses
- Prepare shipping documentation (invoices, packing lists, bills of lading)
2. Communication &Coordination
- Liaise with suppliers and transport companies
- Liaise with internal departments (e.g. warehouse, purchasing and finance)
- Support communication with logistics service providers
- Respond to basic internal customer or supplier inquiries
- Resolve basic operational issues and escalate when needed
3. Order & System Processing
- Update shipment status and delivery schedules
- Monitor order fulfilment progress and flag delays
4. Documentation Management
- Prepare and process shipping documents such as delivery orders, packing lists and bill of lading / airway bills
- Ensure all records are accurate and properly filed and audit ready
- Assist with audit and compliance documentation
5. Administrative Support
- Maintain and update logistics records, files, and databases
- Maintain proper documentation for regulatory and company compliance
- Support import/export paperwork (if applicable)
- Handle data entry in ERP systems (e.g., Dynamics, LFS)
- Support logistics team with general clerical duties
Requirements
- Minimum O levels
- At least one (1) year logistics admin related experience
- Good interpersonal skills and communication skills (written & verbal) in English and Chinese (for communication with Mandarin-speaking vendors)
- Proficient in Microsoft office program (e.g. Excel/Word)
- Able to work in a fast-paced environment
- Meticulous and keen to learn
- Able to work independently and isa good team player
