Job Summary: The Logistics Coordinator plays a vital role in client service and patient care and serves as the liaison between IVF centers, the CooperGenomics team, and patients. The position advocates for clients and patients by addressing logistical needs, scheduling proper transportation of patient samples, addressing shipping supply needs, facilitating interactions with Genetic Counseling, Billing teams and Client & Patient Services, and improving the overall patient and client experience through exceptional customer service. The role is responsible for coordinating inbound patient sample shipments from IVF clinic partners worldwide and ensuring all required documentation and case acceptance criteria are met.

Essential Functions & Accountabilities:

  • Communicate via phone and email with IVF clinic partners regarding courier requests, patient samples, sample kits, and shipping supplies.
  • Coordinate incoming patient sample shipments according to geographic zones and designated CooperGenomics laboratories.
  • Process courier transactions and generate required shipping labels for customers in a timely manner.
  • Compile and distribute the Inbound Shipment List (ISL) for interdepartmental communication.
  • Collaborate with service departments to ensure proper documentation is maintained for case acceptance and to prevent testing delays.
  • Accession patients within the Xifin Laboratory Information System (LIS).
  • Monitor and track critical shipments to CooperGenomics laboratories.
  • Resolve sample barcode labeling issues with customers and laboratory personnel.
  • Collaborate with customer service teams to resolve clinic and patient issues.
  • Respond to routine customer service inquiries related to logistics operations.
  • Collaborate with the Clinical Science Specialist team to assist with additional clinical/laboratory questions
  • Collaborate closely with the Laboratory to ensure smooth delivery and sample receipt.

Qualifications

  • Demonstrated commitment to delivering exceptional customer service.
  • Exceptional attention to detail and strong written and verbal communication skills.
  • Ability to communicate professionally and compassionately with patients, physicians, clinic staff, and clients.
  • Strong listening, relationship-building, conflict-resolution, and teamwork skills.
  • Understanding of HIPAA compliance requirements.
  • Ability to work in a fast-paced healthcare environment

Knowledge, Skills and Abilities:

  • Customer service excellence.
  • Strong organizational and time-management skills.
  • Ability to manage multiple priorities while maintaining accuracy.
  • Proficiency with Microsoft Word, Excel, PowerPoint, Outlook, Microsoft Access, and GoToMeeting.
  • Effective communication and collaboration across multiple departments.
  • Ability to problem solve

Work Environment/Tools:

  • Office-based customer and client support environment.
  • Frequent interaction with IVF clinics, patients, laboratory teams, Genetic Counseling, and Billing teams.
  • Utilizes courier systems, laboratory information systems, and Microsoft Office applications.
  • Participation in weekend and evening on-call rotations is required.

Experience:

  • Experience in customer service, healthcare operations, laboratory support, logistics coordination, or a related medical setting preferred.

Education:

  • High School Diploma required.
  • Bachelor's degree preferred.
  • Candidates currently pursuing a degree may be considered if they can demonstrate the required level of customer service experience in a fast-paced medical environment.
