Maintenance Planning Coordinator

Job Summary

The Maintenance Planning Coordinator is responsible for planning, coordinating, and supporting the execution of maintenance activities to promote safe, reliable, and efficient plant operations. This position works closely with Maintenance, Production, Sanitation, Quality/Food Safety, vendors, and plant leadership to help prioritize work, coordinate resources, communicate schedule needs, and support timely completion of maintenance work with minimal disruption to operations.

Responsibilities

• Develops and maintains daily and weekly maintenance schedules in coordination with production, sanitation, and operational priorities.

• Reviews maintenance work requests and assists with converting approved requests into planned work orders, including labor, parts, tools, safety needs, and estimated timing, etc.

• Coordinates preventive, corrective, emergency, project-based, and general maintenance work to support equipment reliability and plant needs.

• Communicates maintenance priorities, schedule changes, equipment availability, parts delays, and resource needs to appropriate leaders and stakeholders.

• Maintains accurate CMMS records, including work orders, equipment history, preventive maintenance schedules, task lists, and job plans.

• Partners with site stakeholders, vendors, contractors, and leadership to support parts availability and outside service coordination.

• Collaborates with site members and cross-functional departments to understand operational needs in support of effective maintenance planning and follow-up.

• Assists with tracking work order backlog, PM completion, schedule compliance, downtime trends, and other maintenance performance measures.

• Participates in root cause, corrective action, and continuous improvement activities related to equipment reliability and maintenance processes.

• May perform or assist with general maintenance tasks, troubleshooting, inspections, and repairs based on business needs.

• Maintains a safe, organized, and professional work area and performs work in accordance with company policies and procedures.

• Supports compliance with plant safety procedures, lockout/tagout, GMP, food safety, sanitation, allergen control, and applicable audit requirements.

Qualifications

• Related experience in maintenance planning, scheduling, industrial maintenance, manufacturing maintenance, or a similar role preferred; an equivalent combination of education, training, and experience may be considered.

• Experience using a CMMS, maintenance work order system, or similar tracking system preferred.

• Working knowledge of preventive maintenance, corrective maintenance, equipment reliability, parts coordination, and work order processes preferred.

• Strong organizational, prioritization, follow-up, and communication skills with the ability to adjust plans based on business needs.

• Ability to work effectively with site internal customers & stakeholders, plant leadership, vendors, and contractors.

• Ability to read and understand maintenance documentation, equipment manuals, parts lists, work instructions, drawings, or schematics preferred.

• Proficiency with Microsoft Office, including Outlook, Excel, and Word.

• Ability to work in a manufacturing environment, follow required safety practices, wear required PPE, and perform the essential functions of the position with or without reasonable accommodation.

• Must comply with all USDA and FDA regulations

Education

• High school diploma or GED required.

• Technical training, maintenance apprenticeship, mechanical/electrical certification, or equivalent related experience preferred.
