Manager, Corporate Administration

Reporting to the Head of Corporate Administration, this role is responsible for supporting the effective management of policies and procedures across the organisation, driving the development, implementation, and continuous improvement of the information management programme and administrative operations, processes, and governance practices.
This position is established within the Corporate Administration Team and may be assigned to either of its two functional verticals, which share the same overarching objectives and purpose while focusing on different functional areas. Responsibilities may be assigned across different functional areas and may evolve over time in response to operational needs, individual strengths, and performance.
Key Responsibilities:
Policy and Governance
- Support the development and implementation of corporate policies, guidelines, and governance best practices.
- Ensure policies and procedures are reviewed and approved in accordance with the Authority’s delegated authority framework.
Information Management and Administrative Operations
- Maintain the database and version control of published policies and procedures to ensure compliance with record retention requirements.
- Support the development and implementation of information and records management practices, governance standards, and process improvements.
- Oversee the corporate intranet to support effective internal communication and information accessibility.
- Oversee travel operations and liaise with service providers to ensure the effective and efficient delivery of travel services for the Authority.
Stakeholder Support and Communication
- Provide guidance and training to internal stakeholders on corporate administration, information management and administrative operations, governance and compliance-related topics.
Team Supervision, Projects and Planning
- Lead and coordinate cross-functional projects in collaboration with user departments and relevant stakeholders.
- Supervise and develop team members to deliver high-quality and efficient administrative services.
- Support the Head of Corporate Administration in handling stakeholder enquiries and governance- and compliance-related matters.
- Conduct research, analysis, and reporting to support decision-making, benchmarking, and project delivery.
- Carry out benchmarking against other public and arts-and-cultural organisations as required.
- Support departmental budget planning, expenditure monitoring, and resource allocation.
- Perform other duties and undertake projects assigned to support business needs.
- Perform any other duties from time to time as the Authority may reasonably direct.
You should:
- possess a University degree in business administration, management, or a related discipline;
- have experience in secretarial and administrative support will be an advantage;
- have good knowledge of policies and procedures, and corporate governance principles;
- have at least 6 years’ relevant experience in corporate administration, governance, records management, or related areas within a sizable organisation, preferably with supervisory or project leadership exposure;
- have excellent analytical, problem-solving, and communication skills;
- be proficient in Microsoft 365 productivity tools, such as SharePoint and knowledge of Power Automate, systems or applications related to information or records management;
- have strong interpersonal skills, with the ability to manage relationships effectively with internal stakeholders at all levels; and
- be proficient in written and spoken English and Chinese.
