Manager, Pharmacy Data Entry Operations

This role is responsible for leading and unifying pharmacy data entry operations across multiple teams, ensuring high performance, consistency, and compliance in a fast-paced healthcare environment. You will oversee the strategic and day-to-day execution of prescription data entry processes, driving accuracy, efficiency, and turnaround times across operations. The position plays a key role in aligning workflows, strengthening team culture, and fostering collaboration between distributed teams. You will lead supervisors and team leads, supporting performance management, training, and professional development to build a high-performing workforce. In addition, you will leverage data and KPIs to identify operational gaps, optimize processes, and support continuous improvement initiatives. This is a highly impactful leadership role requiring both operational excellence and strong people management skills in a regulated healthcare setting.
Accountabilities:
- Oversee daily operations of pharmacy data entry teams, ensuring accuracy, service levels, and turnaround times are consistently met or exceeded.
- Develop and standardize workflows, processes, and performance expectations across multiple teams to drive operational alignment.
- Lead initiatives to streamline operations, reduce inefficiencies, and improve scalability and service delivery.
- Manage and develop supervisors and team leads through coaching, training, and performance management.
- Drive onboarding, competency development, and continuous training programs for data entry staff.
- Monitor KPIs and operational metrics to assess performance, identify gaps, and implement improvements.
- Ensure compliance with HIPAA, pharmacy regulations, and internal SOPs through audits and quality oversight.
- Serve as a liaison between teams and stakeholders to ensure clear communication and alignment on priorities.
- Support cross-functional initiatives, including system integrations, pharmacy program launches, and process optimization.
- Translate strategic goals into actionable plans and ensure execution across teams.
- Bachelor’s degree or equivalent combination of education and relevant experience.
- 5+ years of experience in pharmacy operations, preferably in PBM, specialty, or mail-order pharmacy environments.
- 3+ years of leadership experience in a regulated, high-volume healthcare or pharmacy setting.
- Strong understanding of pharmacy terminology, prescription workflows, and healthcare regulations.
- Knowledge of HIPAA compliance, insurance procedures, and claims adjudication processes.
- Experience managing teams in complex, distributed operational environments.
- Strong analytical skills with the ability to interpret performance data and drive improvements.
- Excellent communication, interpersonal, and team-building abilities.
- Proficiency in Microsoft Office Suite and pharmacy or workflow management systems.
- Ability to manage multiple priorities in a fast-paced, regulated environment.
- Nice to have: Pharmacy technician certification (PTCB or equivalent), bilingual English/Spanish, or project management experience.
