PRIMARY OBJECTIVES:

The primary objective of the Field Marketing Administrative Assistant position is to provide operational and administrative support to the Field Marketing Team and assist the Field Marketing Manager with development and implementation of relevant programs and projects within the department.

PRINCIPAL RESPONSIBILITIES:

  • Process tour bookings in Club Wyndham Asia’s system.
  • Develop and maintain reporting for the Field Marketing department.
  • Manage the Dispatch/Logistics function of Field Marketing.
  • Assist with the processing and approval of Field Marketing payroll.
  • Assist with processing of invoices.
  • Assist with organizing and sourcing Field Marketing collateral and premiums.
  • Liaise with legal and regional managers to ensure prompt sign off and review of agreements for new and existing Field Marketing locations.
  • Gain relevant approvals for and complete stock orders for all Field Marketing regions.
  • Provide ad hoc information requests.
  • Ensure data integrity of systems and maintain accurate records to ensure departmental compliance with business and government standards and regulations.
  • Display Count on Me! Service to all internal and external parties.
  • Show integrity in all aspects of the position by doing the right thing, taking responsibility and delivering on the Wyndham promise.
  • Display leadership values by ensuring effective communication and respecting your peers and managers. Support others within the team and empower each other wherever possible.
  • Adhere to all company policies and procedures.
  • Perform any other duties within your skill level as requested by the Company from time to time.

KEY POSITION CRITERIA:

  • Committed to providing excellent customer service at all times.
  • Detail-oriented, accurate, and thorough.
  • Positive, can-do attitude with the ability to self-motivate.
  • Intermediate to advanced Microsoft Office skills, particularly Excel and Access.
  • Ability to work in a fast-paced environment.
  • Strong written and verbal communication skills with the ability to effectively respond to questions from managers, co-workers, and clients.
  • Ability to meet deadlines and performance standards.
  • Ability to manage multiple tasks and think laterally when problem solving.
  • Good time management skills.
  • Flexible working schedule, including weekends, public holidays, and evenings as required.
