Nursing Admin

Job Summary

Support the Nursing Department by managing administrative, coordination, and documentation tasks to ensure smooth operations, regulatory compliance, and quality resident care in the nursing home.

Responsibilities

  • Maintain and update nursing records, policies, and documentation to comply with Ministry of Health (MOH) requirements
  • Ensure accuracy, completeness, and audit readiness of departmental files such as training records and audits
  • Prepare documentation and support processes for internal and external audits
  • Coordinate training schedules for internal and external staff to ensure timely completion
  • Maintain training records, competency checklists, and certification tracking for nursing staff
  • Liaise effectively with external training providers to facilitate staff development
  • Assist in daily ward administrative operations to support nursing workflows
  • Schedule residents’ medical appointments and follow-ups to ensure continuity of care
  • Coordinate communications among multi-disciplinary teams to support collaborative care
  • Assist in communication with residents and next-of-kin to provide updates and support
  • Organize care conferences and family meetings to facilitate care planning and engagement
  • Track and manage nursing-related supplies and equipment to maintain operational readiness
  • Support requisition processes and maintain accurate documentation for supplies
  • Ensure adherence to nursing home policies and regulatory guidelines in daily operations
  • Perform ad-hoc administrative tasks as assigned to support department needs

Preferred competencies and qualifications

  • Certificate in Business Administration, Diploma/Degree in Healthcare Administration, or equivalent
  • Minimum 2 to 3 years’ relevant experience, preferably in healthcare
  • Proficient in Microsoft Office applications to manage documentation and communication
  • Strong organizational skills to manage multiple tasks efficiently
  • Good interpersonal skills to liaise with staff, residents, and external providers
  • Ability to multitask effectively in a dynamic healthcare environment
  • Able to work on-site in Bukit Merah
