Job Summary

We are seeking a detail-oriented and collaborative Office Administrator to support daily operations by managing financial records, inventory control, and communication to ensure smooth workflows and team collaboration.

Responsibilities

  • Accurately enter supplier and client invoices into the accounting system to maintain up-to-date financial records
  • Organize and maintain digital and physical filing systems for all financial documents to ensure easy retrieval and compliance
  • Cross-check invoices against purchase orders to verify pricing and quantities for accuracy
  • Monitor and record stock deliveries and sales to maintain accurate inventory levels
  • Conduct regular physical stock counts to verify system inventory accuracy
  • Notify management promptly when supplies or product levels fall below thresholds to enable timely reordering
  • Manage the general office email inbox by responding to inquiries promptly and professionally
  • Route incoming emails to the appropriate departments or team members to ensure effective communication flow
  • Assist other departments with administrative tasks to support meeting company deadlines
  • Collaborate with the team to identify and suggest improvements for office workflows and inventory processes

Preferred competencies and qualifications

  • Previous experience in office administration, data entry, or related roles to support operational efficiency
  • Proficiency in Microsoft Office (Word and Excel) and familiarity with basic accounting or ERP software to handle administrative and financial tasks
  • High attention to detail to ensure accuracy in handling numbers and inventory data
  • Excellent written and verbal communication skills to maintain professional correspondence
