Office Assistant C – Department of Integrated Studies in Education (DISE)
Hiring Unit:
Department of Integrated Studies in Education
Position Summary:
Records Management and Archiving
Organize, sort, label, and archive departmental files and records in accordance with university procedures.
Prepare materials for storage and maintain accurate records of archived files.
Assist with the clean-up and organization of departmental records and filing systems.
Undergraduate Advising; Administrative Support
Issue course permits in Banner and notify students of the decisions regarding their requests
Work on updating presentation materials and assist with orientation preparation
Data entry on departmental and university wide platforms (e.g., DTA, DCU)
Assist with creating and maintaining standardized advising handbook and information databases for new and existing students
Assist with updating and developing student-facing communications as well as written items for the B.A.(Education) newsletter through Envoke
Prepare necessary documentation required for website transfer, including organizing and uploading documents
Office Coverage and General Administrative Support
Provide office reception and coverage during staff vacation periods and absences.
Respond to general inquiries from students, faculty, and staff.
Assist with scheduling, correspondence, and routine administrative duties.
Support departmental operations and special projects – SharePoint site, website editing, and administrative retreat planning).
Event organization and coordination including Departmental meetings, instructor meetings, and program specific events.
Education and Qualifications
High School Diploma with 2 years of relevant experience in working in an administrative unit.

Knowledge of English: McGill University is an English-language university where day to day duties may require English communication both verbally and in writing. The level of English required for this position has been assessed at a level # (qualifier) on a scale of 0-4.
