Office Coordinator
You will be the front line for visitors at the Reno office. You greet visitors and maintain a professional look for the office, including upkeep of conference rooms and meeting preparation. You will manage the inventory of office supplies and stock the kitchen, reordering groceries as needed. You will support the operations team and serve as the local liaison to building management for maintenance concerns. You will assist in organizing and planning office and team events. You will assist the Customer Operations team by performing notarizations as needed. You will receive mail and deliveries, scan and upload important documents, and send mail to other offices in a timely manner. You will coordinate interviews and source prospective candidates across multiple Figure locations. You will provide an exceptional candidate experience from initial outreach to onboarding. You will assist with ad hoc requests and projects as needed.
Responsibilities
- Greet all visitors and maintain a professional look for our Reno office, including upkeep of conference rooms and meeting preparation
- Maintain the inventory of office supplies, including stocking our kitchen and reordering groceries
- Support our operations team and serve as the local liaison to building management for maintenance concerns
- Assist in organizing and planning office and team events
- Support our Customer Operations team by performing notarizations as needed
- Receive mail and deliveries, scan and upload important documents, and send mail to other offices in a timely manner
- Coordinate, schedule interviews, and source prospective candidates across multiple Figure locations
- Provide an exceptional candidate experience from initial outreach to onboarding
- Assist with ad-hoc requests and projects as needed
Requirements
- High school diploma required; Associate’s degree preferred.
- 1+ year of experience in office administration, administrative support, or a related role.
- Ability to obtain a North Carolina Notary commission.
- Proficiency with Google Mail and Google Calendar; intermediate Microsoft Excel and PowerPoint skills preferred.
- Excellent verbal and written communication skills with a professional, positive, and customer-focused demeanor.
- Strong organizational skills with exceptional attention to detail and the ability to prioritize tasks, manage multiple responsibilities, and work independently.
- Ability to remain flexible and adapt quickly in a fast-paced, evolving environment.
- Adhere to all company security policies and data handling procedures.
- Complete mandatory security awareness training within required timeframes.
- Promptly report any suspected security incidents or suspicious activity to the Security team.
- Previous experience coordinating events is a plus.
- Ability to lift up to 25 pounds.
- Ability to work full-time, on-site in our Reno, Nevada office, Monday through Friday.
