Operations Administrator – Transport

Job Purpose The Operations Admin for the Transport team will provide essential administrative support to ensure the smooth operation of daily transport activities. This role involves coordinating with drivers, preparing documentation, maintaining records, and assisting the operations team in delivering efficient transport services. The ideal candidate will have strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.

Core responsibilities •Prepare and manage transport-related documents, including delivery schedules, invoices, and permits. •Maintain accurate records of fleet operations, driver logs, and maintenance schedules. •Assist in coordinating daily transport activities with drivers and the operations team. Data Entry and Reporting •Input and update transport data in relevant systems or software. •Generate reports on transport performance, delivery status, and operational metrics. •Monitor and track shipment statuses to ensure timely delivery. Communication and Coordination •Act as a point of contact for drivers, customers, and internal teams to address inquiries or issues. •Communicate delivery updates and schedules with customers and stakeholders. •Coordinate with the maintenance team to ensure vehicles are serviced on time. Compliance and Documentation •Ensure all transport activities comply with company policies and regulations. •Verify and process transport-related expenses and documentation. •Assist in preparing reports for audits and compliance checks. Support for Operations Team •Provide general administrative support to the operations team as needed. •Assist in problem-solving and troubleshooting operational issues. •Collaborate with other departments to support overall transport objectives.

Qualification

  1. Diploma or Bachelor’s degree in Business Administration, Logistics, or a related field.
  2. 1–3 years of experience in an administrative or logistics support role.
  3. Proficiency in Microsoft Office (Word, Excel, PowerPoint) and familiarity with logistics management software.
  4. Strong organizational and time-management skills.
  5. Attention to detail and the ability to handle multiple tasks simultaneously.
  6. Excellent communication and interpersonal skills.
  7. Basic knowledge of transport or logistics operations is a plus..
  8. Problem-solving skills to address operational challenges effectively.
  9. Ability to work in a fast-paced environment and make decisions under pressure.
