Operations Assistant - Sea Cargo

We are currently looking for an Operations Assistant – Sea Cargo to join our Mexico City office. This is an excellent opportunity for a detail-oriented logistics professional who enjoys working in an international environment and is eager to develop a career in ocean freight operations.

What will you do?

As an Operations Assistant – Sea Cargo, you will provide operational and administrative support to the Ocean Operations team, ensuring the smooth coordination of international ocean freight shipments while delivering excellent customer service.

Key Responsibilities

  • Provide outstanding customer service by maintaining close communication with customers regarding the status of their shipments.
  • Request shipment status updates from shipping lines, warehouses, and logistics service providers.
  • Review, process, and manage documentation related to ocean freight shipments.
  • Search for and validate ocean freight shipment references.
  • Process and transmit shipment information through the corresponding operational platforms.
  • Update internal operational reports and shipment records.
  • Prepare cost estimations using CargoWise.
  • Upload and approve supplier invoices through the Centro CFDI system.
  • Follow up with suppliers to obtain pending invoices and supporting documentation.
  • Process electronic invoices in the corresponding internal systems.
  • Perform required Validacarga transmissions for ocean freight shipments.
  • Update shipment milestones, including ETA, ETD, ATA, and ATD, within CargoWise.
  • Maintain accurate shipment files and ensure compliance with internal procedures.
  • Support the Operations team with day-to-day logistics coordination and administrative activities.
  • Required Qualifications

  • Previous experience in Ocean Freight Operations, Logistics, Freight Forwarding or a related field is preferred.
  • Basic knowledge of international logistics and ocean freight operations.
  • Experience using CargoWise or similar logistics software is an advantage.
  • Strong organizational skills and attention to detail.
  • Excellent customer service and communication skills.
  • Ability to work in a fast-paced environment while managing multiple priorities.
  • Proactive attitude with strong problem-solving skills.
  • Good command of English (written and spoken) is required, as you will communicate regularly with overseas offices, international agents, shipping lines, and global customers.
