JOB PURPOSE:


The Operations Billing Officer supports the Operations team in the invoicing process and performs administrative tasks related to billing activities. This role requires a high level of accuracy, attention to detail, and effective coordination between the Operations and Finance departments.


CORE RESPONSIBILITIES:


  • Ensure all cost items are accurately entered and completed in the system.
  • Verify vendor invoices against system records and report any discrepancies.
  • Assist in the preparation and processing of customer invoices.
  • Submit customer invoices accurately and on time, taking into account payment cut-off dates and other relevant factors.
  • Perform general billing and clerical tasks related to invoice management.
  • Ensure all shipment-related documents are properly recorded and filed to support smooth cargo handling at each milestone.
  • Handle administrative office tasks and generate regular reports as needed.
  • Submit completed invoices to the manager for review and approval.
  • Perform other duties as assigned by the manager.


QUALIFICATION


  • Bachelor’s degree in Business, Logistics, or a related field.
  • Knowledge of international logistics and freight forwarding (ocean/air, import/export).
  • Proficient in English, both written and spoken.
  • Strong proficiency in Microsoft Office applications (Excel, Word, Outlook, PowerPoint).
  • Experience with CargoWise software is an advantage.
  • Highly organized, detail-oriented, and capable of ensuring accuracy in all documentation.
