Operations Manager

Job Scope

Administrative duties

· Attend to walk-in, online enquiries, and phone calls in a professional and service-oriented manner.

· Promote the Company's products and services to existing and prospective customers using approved sales materials and practices.

· Develop and maintain positive working relationships with customers, colleagues, and stakeholders.

· Coordinate sales efforts with team members and other departments.

· Achieve sales targets and manage customer retention initiatives.

· Assist Support Staff with administrative duties when required.

· Assist newly enrolled students with enrolment processes, including providing information, distributing welcome materials, and processing payments.

· Provide administrative support to teachers.

Operations Leadership

· Oversee the day-to-day operations of all local and overseas centres.

· Supervise and lead local and overseas operational teams to achieve enrolment, staffing, and service quality targets.

· Develop and implement operational policies, Standard Operating Procedures (SOPs), and best practices to ensure efficiency and consistency.

· Monitor key operational metrics and conduct regular reviews with Support Staff and teachers to drive continuous improvement.

· Adhere to the dress code, work ethics, and regulations established by Management and relevant government agencies.

· Manage and maintain the operations and overall well-being of all centres.

· Prepare and manage branch schedules and classroom plans to maximise enrolment and operational efficiency.

· Manage and submit sales reports and other ad hoc reports through the school management system.

· Manage and review part-time staff reports.

· Monitor inventory levels and oversee the procurement of learning materials, assessment books, worksheets, and other operational supplies.

· Provide Management with reports on customer needs, concerns, interests, competitor activities, and opportunities for new products and services.

· Monitor staff performance, including conducting performance reviews and evaluations.

· Manage customer and staff feedback, including complaints and compliments, and keepManagement informed of significant matters.

Marketing and Business Development

· Create, design, and schedule content for social media platforms, including capturing photos and videos of lessons and student activities.

· Develop and execute monthly marketing calendars and campaigns to drive enrolment.

· Explore, develop, and secure partnerships with shopping malls, corporate organisations, and community partners for roadshows, events, and collaborations.

· Assist in brand-building initiatives and ensure consistency across all marketing materials and communications.

· Coordinate with freelancers, vendors, and marketing agencies on social media advertising and promotional campaigns.


Finance

· Process supplier invoices, payroll matters, andCPF-related submissions, ensuring timely payment and proper documentation.

· Support Management in budget planning, forecasting, and cost-control initiatives.

· Liaise with existing vendors and service providers on bookkeeping matters and documentation requirements..


Curriculum Management

· Oversee the printing, preparation, and distribution of curriculum materials, including assessment books, worksheets, flashcards, and teaching resources.

· Procure lesson materials from approved platforms and vendors.

· Collaborate with teachers on curriculum enhancements and gather feedback for Management review.

Human Resource Management

· Prepare and publish job advertisements across relevant recruitment platforms.

· Screen and shortlist suitable candidates based on qualifications, experience, and organisational fit.

· Conduct interviews and assess candidates' suitability for employment.

· Recommend suitable candidates to Management for final approval.

· Conduct teacher observations to ensure high standards of lesson delivery and classroom management.

· Provide training, coaching, and guidance to Customer Service Officers (CSOs) and teachers.

· Oversee the onboarding process for new employees and ensure all required training is completed.

· Manage performance reviews, KPIs, appraisals, and development plans for centre staff.
