Paralegal / Legal Manager (m/f/x)
We are seeking a highly organized and self-starting Paralegal/ Group Legal Manager to join our Group Legal & Compliance team at the headquarters of the SYNLAB Group. This role is a highly cooperative role, interactive with all members of the Legal department including General Counsel and essential for optimizing our legal service delivery and administratively supporting the legal department’s functions.
General Counsel Support:
- Risk & Litigation reporting: Provide structured support for Group Legal’s quarterly litigation reporting, focusing on coordination, follow-up, and completeness of information received from local entities
- Legal & Compliance reporting: Maintain the Legal team info sheet on current matters and priorities and help preparing the legal presentation for monthly meetings of the Executive Committee (including quarterly risk reporting and monthly litigation reporting)
- Legal cost controlling: Administration, review, and reconciliation of invoices, credit card statements, and travel expense reports.
- Legal Matrix: Organization, preparation, and follow-up of local and international team meetings (virtual & in-person), including agenda creation, participant management, and minutes.
- Administrative support: Flexible support for short-notice organizational requests, meeting invites, travel bookings, and other support for General Counsel
Legal Team Support:
- Corporate Housekeeping: Support the Corporate Office with administrative tasks relating to corporate governance, such as for example the upload of documents into our Entity Management system, the support of the yearly document collection for financial audits or the organisation of notary appointments.
- Contracts: Support Legal colleagues at HQ with standard legal tasks (NDAs, signature process for DPAs etc.).
- Trainings: Support Legal colleagues in the creation of legal trainings in Power Point and the transition of Power Point trainings into our learning management system (Compass).
Legal Operations Backup:
- Become the second legal key user for our Contract Lifecycle Management and Entity Management systems.
- Assist our Legal Operations Manager in keeping our system data up to date.
Bachelor’s degree in Legal, Legal & Administration, Legal & IT, Business Legal or experience as Legal assistant required
3+ years of experience in legal administration or a similar role—preferably inhouse
Full proficiency in MS office 365: deep knowledge in Power Point and Excel is a must. Knowledge in working with Co-Pilot (and Agents) and experience with HR and travel tools an asset
Strong understanding of legal department functions and best practices
Experience with legal technology platforms (e.g. contract management, document management)
Excellent command of English, full work proficiency in German, other language skills are appreciated.
